Position Description Summary/Purpose:

The Senior Administrative Assistant provides high-level administrative and operational support to the Dean of Nursing and Health Professions and to program directors within the Health Professions division. This role supports multiple academic programs, including Nursing, Respiratory Therapy, and other allied health programs, and plays a key role in ensuring effective coordination, communication, and day-to-day operations across the division.

 

Essential Job Functions/Primary Responsibilities:

Administrative Support

Provide comprehensive administrative support to the Dean of Nursing and Health Professions, including calendar management, meeting coordination, correspondence, and document preparation
Support program directors in Nursing, and assigned Health Professions programs with scheduling, reporting, and administrative tasks
Serve as a primary point of contact for internal and external stakeholders, including faculty, staff, students, and institutional offices.

Academic and Program Support

Assist with coordination of academic program activities, including meetings, site visits, accreditation-related tasks, and special projects
Prepare, maintain, and organize program documentation, reports, and data related to academic operations and compliance requirements
Support onboarding processes for faculty and staff within the division.

Operational and Office Management

Coordinate workflows across multiple programs to ensure deadlines and priorities are met
Maintain files and records in compliance with institutional policies and confidentiality requirements
Assist with budget tracking, contracts, purchasing, and resource coordination as assigned.

Communication and Coordination

Draft and edit professional communications on behalf of the Dean and program directors
Facilitate communication among faculty, program directors, and administrative offices
Support division-wide initiatives, events, and meetings.

 

Other Functions: 

Performs similar or related work as required, directed or as situation permits
Continuing professional development and training; keeps current with trends
Assists other department staff as needed to promote a team effort.

QualificationsMinimum Required Qualifications:

Associate’s degree required; bachelor’s degree preferred
Minimum of three years of progressively responsible administrative support experience, preferably in higher education or healthcare-related settings
Strong organizational, communication, and interpersonal skills
Ability to manage multiple priorities in a fast-paced academic environment
Proficiency with standard office software and institutional systems.

 

Preferred Qualifications

Experience supporting senior leadership in an academic or healthcare setting
Familiarity with allied health or nursing education programs
Experience supporting accreditation, assessment, or compliance-related activities.
