About the role

POSITION SUMMARY

Provide day-to-day administrative support, including managing schedules, correspondence, and documentation. Assist with HR-related tasks such as maintaining employee records, supporting recruitment activities, and coordinating staff communications. Draft, review, and format documents, reports, and internal notices with accuracy and professionalism. Support the planning and execution of meetings, events, and team initiatives. Use Canva (or similar tools) to create simple, visually appealing materials such as flyers, announcements, and presentations. Maintain organized filing systems (digital and physical). Manage office supplies, coordinate with vendors, and provide general office support. Ensure confidentiality and professionalism in handling sensitive information.

Strong organizational and time management skills, with the ability to prioritize effectively. Excellent written and verbal communication skills. Ability to work independently while being a strong team player. Sound judgment and discretion when handling confidential matters. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience using Canva or similar tools to create basic visual content. Working knowledge of HR processes and practices.

Follow all company policies and procedures, ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests’ service needs, assist individuals with disabilities, and thank guests with genuine appreciation. Speak with others using clear and professional language, prepare and review written documents accurately and completely, and answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others, support team to reach common goals, and listen and respond appropriately to the concerns of other employees. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

 

Qualifications & Experience:

  • Associate or Bachelor’s degree in business administration, Human Resources, or a related field (or equivalent work experience).
  • 3–5 years of experience in an administrative support role.
  • Experience coordinating schedules, drafting correspondence, and supporting office operations.
  • Familiarity with digital collaboration tools and platforms.
