Position Summary
ComArtSci seeks a highly motivated, detail-oriented, organized, and professional office assistant to join its fast-paced Academic and Student Affairs Office. This is an exciting opportunity to play a vital role in the day-to-day administrative and functional operations of the office. This position is a two-year limited term position with in-person working hours of 8-5pm Monday through Friday.
As Office Assistant, you will serve as administrative and clerical support for the Academic and Student Affairs Office within the College of Communication Arts and Sciences. This position will support the Directors and Office Coordinator in administering, maintaining, processing, monitoring, reconciling, etc. student records of ~4,800 undergraduate students. Additionally, this position will support the execution of events, communication strategies, training and professional development, etc. as well as organize and assist with regularized office procedures as required.
A successful candidate will have strong organizational skills, multitasking abilities, communication skills, and technology skills with the ability to work independently. A strong customer service mindset is desired.
Responsibilities include but are not limited to:
- General administrative/clerical support: processing major changes/subplans; minors; overrides; internships/independent studies; new student orientation support; grades processing; etc.
- Process and procedure development: support creation and development of training materials; process mapping; advise on process/procedure/protocol audits, etc.
- Customer service: greeting visitors and callers; email and communicate with various stakeholders; answer questions and refer visitors, callers, students, stakeholders, etc.
- Event support: assist academic advisors in event coordination etc.
Minimum Requirements
Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience with word processing, spreadsheet, database, calendaring and/or presentation software, Campus Solutions, Student Information Generator, Registrar's Office Forms Menu, Degree Audit, and the Electronic Student Academic Folder (ESAF); typing and filing; or an equivalent combination of education and experience.
Desired Qualifications
- Three or more years of administrative support experience in an academic student affairs environment
- High proficiency in Microsoft Office package (e.g., excel, outlook, word), Google Drive package (e.g., google sheets)
- Experience working with Campus Solutions
- Novice proficiency with Calendly and Qualtrics.
- Knowledge of University policies and procedures particularly as they impact undergraduate students
- Ability to handle multiple priorities and meet deadlines with frequent interruptions
- Detail oriented and highly organized
- Strong customer service mindset
