Your Specific Responsibilities:

 Under the direction of the County Deputy Registrar, this position will perform clerical duties within the Vital Statistics Unit of the Leon County Health Department and serve as a Deputy Registrar for the county.

Responsibilities include the following. Other duties may be assigned. Safety Paper • Monitor and track for all safety paper used daily through the review of the Safety Paper Usage Report, void report, and the Document Tracking Missing Number & Duplicate Report along with bi-weekly audits • Review and maintain required safety paper logs for daily account of all safety paper utilized in issuance of certificates • Maintain control of all safety paper by accepting certified paper when delivered, documenting numbers on inventory log, assigning numbers to satellite offices, and ensuring safety paper is stored in appropriate secured/locked cabinets • Ensure voided safety paper is stored and disposed of according to Vital Statistics policies and procedures • Verify that unused safety paper is retrieved from printers and copiers daily and stored in a secured area Issuance & Eligibility • Issue birth/death certificates, troubleshoot certificate issues or providing information and respond promptly to customer inquiries • Process birth and death mail request/orders • Process VitalChek and window application requests • View VitalCheck dashboard for requests and process all applications daily, verify all information provided is accurate and complete Reports, Audits, etc. • Reconcile monies collected, balance end of day report • Run daily E-vitals safety usage paper report and Voided paper report, reconcile to the applications • Prepare weekly, monthly, and annual reports verifying all data is accurate, complete, and reported by the designated deadlines (i.e., annual Self-Assessment Tool) • Monitor and perform site visits to satellite offices, tax collectors, hospitals, birthing centers, and funeral homes for periodic reviews o Keep these sites informed of updated policy and procedures according to F.S. 382 and FAC 64V-1 • Communicate with State Office for continuous updates on policy and procedure by attending necessary training and conference calls • Monitor timeliness in filing of Vital records: Follow up on late filing of Birth/Death Records provided by Funeral Homes, Midwives, Birthing Centers etc. • Work with funeral homes to resolve reluctant practitioner cases

Required Knowledge, Skills, and Abilities:

Knowledge of correct spelling, punctuation, and grammar usage. Skill in typing and utilization of computers. Ability to alphabetized and file. Ability to communicate effectively.  Ability to establish and maintain effective working relationships with others. Ability to correct spelling, punctuation, and grammar. Ability to type letters, memoranda, and other standard business forms in correct formation. Ability to operate general office equipment. Ability to lift and carry 25 pounds. Knowledge and skills to operation computers.  Knowledge of Microsoft Office Suite.  Ability to scan and store documents accurately in an electronic format. Customer service skills.

Qualifications:

Minimum – 12 months of experience of handing cash and performing billing functions.  12 months experience in clerical position in a medical dental office setting.  Experience with Microsoft programs and phone skills. 

Preferred – Previous experience with working with vital statistics.
