We are seeking an experienced Executive Assistant to serve as a trusted partner to senior leaders on our Marketing and Communications team. Reporting to the Chief Communications Officer, this role provides strategic support to the Chief Communications Officer, Editor in Chief, and the VP of Communications. More than executive support, this role helps leaders maximize their contribution through sound judgment, anticipation, and effective decision-making. The ideal candidate is highly discreet, eager to learn, and energized by finding better ways to create value.

The Marketing and Communications team partners across the organization to advance our vision through brand strategy, storytelling, and communications that engage audiences with our principles and point of view. Because communications work often requires rapid response and support during crisis situations, this role plays a critical part in helping leaders navigate high-priority time-sensitive moments, including occasional evenings and weekends.

Success in this role requires initiative, the ability to anticipate needs, strong follow-through, and a customer-focused mindset. You will steward priorities, relationships, and information across multiple leaders, proactively remove barriers, and help teams achieve better results through trusted partnerships, collaboration, and continual improvement.

The role will be based in-person in the Ballston, VA office.  

How You Will Contribute

  • Enable leaders to focus where they create the greatest value. Serve as a trusted extension of the Chief Communications Officer, Editor in Chief, and VP of Communications, coordinating with senior leaders and internal teams on their behalf. Steward key relationships and exercise sound judgment and diplomacy in every interaction.
  • Effectively protect leaders' time and attention. Manage a high volume of competing priorities, evaluate requests, and ensure leaders remain focused on the highest-value opportunities and decisions. Align calendars, resolve scheduling conflicts, and coordinate closely with executive partners and assistants across the organization to advance strategic priorities with a win-win mentality.
  • Prepare leaders to engage effectively. Develop briefing materials, agendas, and talking points; capture decisions and action items; and drive follow-through so leaders are prepared, informed, and positioned to make effective decisions.
  • Manage high-priority information flow and executive correspondence on behalf of the leaders. Review, triage, and prioritize correspondence for the leaders. Draft and coordinate communications and logistics to ensure important information reaches the right people at the right time. Support editorial and content workflows by organizing and surfacing knowledge across the team.
  • Serve as a trusted partner during critical and rapid-response moments. Support communications crises by gathering information, coordinating travel and logistics, connecting people, and ensuring leaders have what they need to act quickly and effectively. Maintain flexibility to provide support outside standard business hours, including occasional evenings and weekends, when urgent issues arise.
  • Coordinate complex travel and logistics. Plan detailed travel and itineraries, anticipate needs, and adapt quickly as circumstances change to ensure seamless execution.
  • Provide general administrative support. Manage expenses, reconcile receipts, and handle administrative coordination that allows leaders and teams to remain focused on their highest priorities.

What You Will Bring

  • 5+ years of professional experience in an executive support or administrative capacity, including direct support to senior leaders.
  • Experience supporting multiple executives in a high-volume scheduling environment, strongly preferred.
  • Proven ability to serve as a gatekeeper and trusted extension of an executive, exercising sound judgment and discretion on their behalf.
  • Availability and willingness to support urgent, after-hours needs, including occasional evenings and weekends, during crisis situations and other high-tempo periods.
