The Area Payroll and Scheduling Coordinator is responsible for ensuring bi-weekly staff schedules are prepared in advance of the subsequent cycle using scheduling software and ensuring completed schedules meet minimum state/province staffing requirements and company standards. The position will monitor hourly staff timecards for accuracy and completeness during each pay period, will ensure hours are properly approved prior to payroll submission and will work collaboratively with community Executive Director (ED) to address negative performance trends and non-compliance with company policy. The position will support approximately 4 senior living communities operating within a regional cluster and will spend sufficient time in their assigned communities to effectively support the payroll and scheduling needs of each community. A hybrid remote/on-site office work schedule may be considered at the discretion of the Executive Director.
RESPONSIBILITIES & QUALIFICATIONS

Payroll
- Follow monthly payroll calendar and scheduled tasks to ensure all deadlines are met.
- Monitor daily time clock usage and follow-up promptly on missed punches, timecard errors and undetermined hours.
- Ensure final hours submitted to payroll system for payment are authorized
- Monitor approaching overtime trends and ensure staffing is aligned to meet resident needs and ensure optimal efficiency.
- Review and approve the bi-weekly payroll reconciliation and ensure business controls are maintained per company policy.
- Complete bi-weekly audit of employee time attestation following company practices.
- Provide first level support to team members on Payroll related inquires.
- Provide training to team members and Coordinators in utilizing time keeping systems mobile functionality, including electronic approval.
Staff Scheduling
- Create and manage staff rosters, bi-weekly schedules, and shift replacement planning using scheduling software.
- Monitor shift breaks and meal breaks to ensure staff are following company policy.
- Monitor scheduled time versus actual and report variances timely to community leadership.
- Train staff on payroll best practices and maximizing the benefits of online workflow through scheduling software.
- Review team member full time/part time (FT/PT) classification periodically to ensure designation is appropriate and meets company policy.
- Communicate clearly and convey information and ideas through a variety of messages that engage the audience.
- Monitor and report attendance tracking metrics from scheduling software to Coordinators and EDs.
- Ensure business controls are in place and functioning as expected in accordance with company policy (Monthly Key Controls Checklist; ATK Attestation Audit).
Quality Assurance and Safety
- Practice safety procedures at all times when onsite including Personal Protective Equipment (PPE), fire extinguishers, Safety Data Sheets (SDS) and Lockout Tagout.
- Partner with community team to ensure community follows risk management programs and policies and adheres to safety rules and regulations.
- Facilitate time and attendance policy training for front-line staff as required. Focus on continued education targeting key business process workflows, policies, and systems.
- Assist the community Executive Director with regulatory compliance reporting as necessary.
- Maintain community payroll and staffing records in accordance with Sunrise document retention policies and regulatory requirements.
