Job Overview
Davies Claims Solutions is looking for an experienced Administrative Assistant to provide administrative support to the senior leadership team. Reporting to the Executive Director of TPA Operations, you will be responsible for administrative and clerical duties, including maintaining office supplies, administering building and/or parking access, and preparing required forms for state filings, annual reports, and licensing activities. You will also be coordinating and planning meetings and preparing weekly and monthly management reports to monitor specific adjuster benchmarks.
To be successful in this role, you need to demonstrate an exceptional capability to multi-task and prioritize with excellent organization and documentation skills, possess superb communication skills, both verbal and written, and exercise the ability to handle confidential information with the utmost discretion. You must have a High School Diploma or an equivalent certificate, at least 1 or more years of related experience, and be extremely proficient with Microsoft Office Suite. Additionally, you must demonstrate superior time management skills with capability of working with and meeting deadlines, display a comfort level working with key people at all levels within an organization, and will need to be proactive, independent, and take initiative with consistent follow through. This role is a full-time, in-office position based out of Nashville, TN or Lakewood Ranch, FL, with the potential option to work a hybrid-based schedule.
Responsibilities and Duties
- Prepare required forms and follow up for licensing activities in various states, including state filings and annual reports
- File state licensing as requested
- Serve as Notary Public
- Maintain penalty report and filings
- Facilitate and track annual rollout of SIU Annual Fraud course for adjusting staff and managers
- Maintain adjuster licensing matrix
- Facilitate equipment procurement and work with vendors on execution and ongoing maintenance in any of these areas in coordination with SVP/COO
- Maintain and manage appropriate inventory supply, as well as order supplies for all locations including business cards, letterhead and envelopes and any other special printing needs
- Coordinate and plan meetings and various activities
- Provide administrative support to Davies Claim Solutions’ senior leadership team, including assisting with managing schedules, preparation for meetings, and coordinating travel
- Prepare weekly/monthly management reports to monitor specific adjuster benchmarks
- Liaise with Property Management on general maintenance for Nashville, TN office
- Administration of shipping vendor accounts for all locations (UPS and FedEx)
- Code incoming invoices and submit for approval
- Maintain and manage security access system to ensure physical security of space
- Maintain and manage parking access for all employees and in-office visitors
