Description
At Nevada Heart and Vascular Center (NHVC) the Medical Records Supervisor, under the direction of the Medical Records Manager will file and retrieve patients' medical records, ensuring that information is accurate and complete. You will also respond to release of information (ROI) requests, logging all authorizations and releases. Other tasks include preparing charts for upcoming appointments or off-site storage, as well as scanning documents to update electronic health and medical records. The Medical Records Supervisor will be familiar with HIPAA compliance requirements. The Medical Records Supervisor will have mastered all levels of Medical Records Specialist positions and be able to teach and train new hires at all levels in the Medical Records Department.
Requirements
Education and Experience:
• High school diploma or GED.
• Medical Records related experience.
• General computer skills with working knowledge of word processing, spreadsheet, and email applications.
• Detail-oriented with good analytical and organizational skills.
• Good interpersonal skills with the ability to work cohesively within a team environment.
• Excellent oral and written communication skills to effectively communicate with customers and all levels of management.
JOB KNOWLEDGE:
• Communication skills to converse clearly over the telephone and in person.
• Organization and time management to manage a variety of tasks effectively.
• Attention to detail to correctly identify Medical Records issues and communicate difficulties with manager.
• Technological skills, such as using word processing and spreadsheet programs to track data
• Ability to gather and interpret data.
• Ability to work independently in a fast paced environment.
ESSENTIAL DUTIES:
• Greeting patients professionally both in person and on the phone.
• File documents in patient charts
• Check charts for accuracy and completeness
• File or retrieve information from our EMR system
• Update patients' electronic health or medical records
• Prepare charts for appointments
• Prepare charts for off-site storage
• Respond to ROI (release of information) requests
• Follow all HIPAA regulations
• Retrieve records from hospital patient had their stay at.
• Retrieves any records doctors are requesting.
• Answer phone calls regarding sending or retrieving records.
• Has access to all lab systems to retrieve any labs preformed.
• Prints out schedule daily and is responsible for obtaining records corresponding with each patient seen that day.
• Assists with answering any questions from the Medical Records Team.
• Responsible for patient portal logins.
• Training new Medical Records employees.
• Makes lab account for all new/existing employees ( for Medical Assistants, doctors, and auditors)
• Create weekly schedules for Medical Records Specialist IIIs.
• Answers and assists in resolving patient phone calls.
• Works to resolve Nursing emails
• Works to resolve our YOUCALLMD portal.
• Assist with other clerical tasks as needed
• May refer to senior staff for assistance with higher-level problems that may arise.
• Escalates issues to the supervisor for resolution, as deemed necessary.
• Assist with various projects as assigned by the direct supervisor.
• Meets and exceeds short and long term goals as established for the department.
• Performs duties and job functions in accordance with the policies and procedures established for the department.
• Reports to work, meetings and professional obligations on time.
• Participates in administrative staff meetings and attends other meetings and seminars.
• Assists in evaluation of reports, decisions, and results of department in relation to established goals.
• Recommends new approaches, policies, and procedures to influence continuous improvements in department's efficiency and services performed.
• Takes ownership of special projects, researches data and follows through with detailed action plans.
• Actively participates in problem identification and resolution and coordinates resolutions between appropriate parties.
• Performs other related duties as required and assigned.
• Adheres to Corporate, Department and HR policies and procedures.
