JOB DESCRIPTION AND POSITION REQUIREMENTS:
This Part-Time Administrative Support position supports the general administrative functions of the Strickler Office of International Programs and the Center for Global Business Studies in the Smeal College of Business. This support role serves as the primary point of contact for the office including student reception for the advising center, assists with communications and document preparation, coordinates calendars and meetings, and assists with budget maintenance and reconciliation.
This position entails applying knowledge of principles, practices, and procedures of the units to complete difficult assignments; promoting a culture that is conducive to effective relationships among diverse team members and related internal/external stakeholders; maintaining confidential and/or sensitive information and materials; typically working under general supervision, while performing assignments that are varied and somewhat complex.
Typically requires 2+ years related experience; High School diploma or higher (Associate degree preferred). Strong preference will be given to candidates with administrative experience in the field of higher education. Excellent oral and written communications skills are required. Knowledge of Penn State’s IT environment including LionPATH, Starfish, and Simba is advantageous.
SAMPLE WORK ACTIVITIES:
- Greet students/ faculty/visitors, provide information and/or refer as appropriate; review and direct phone and mail communications; act on routine requests
- Schedule and maintain calendar of appointments and meetings; schedule classrooms or conference rooms
- Coordinate travel arrangements, make reservations, and process reimbursements
- Compile and organize materials from different sources to draft e-mails and memos; prepare documents, meeting materials, and reports
- Proofread materials to ensure proper grammar/formatting
- Process and review routine payroll and/or human resources forms
- Create and maintain work unit files and databases
- Perform data entry; gather, assemble and format data to create reports
