About the Role:
The Strategic Governance Clerk (SGC) is a role within the Self Government Branch that supports governance operations for the Provisional Council of the Métis Nation of Ontario (PCMNO), the Executive Committee, the Finance and Audit Committee (FAC), and the MNO Cultural Commission (MNOCC). Key responsibilities include scheduling meetings, preparing meeting material, taking minutes, tracking action items and resolutions. The SGC also ensures that branches and implementation leads provide timely updates to motion minute reports (MMRs) for the PCMNO, MNO Annual General Assemblies (AGA), and other key governance committees as required.
The SRC oversees the MNO record matrix and collaborates with the PCMNO, Provincial Secretaries, senior leadership, and branches to ensure that actions and updates are properly recorded. The SGC works with the Chair, Vice-Chair, and C-Suite to develop a PCMNO meeting and workshop schedule, establish clear timelines, and follow standard operating procedures (SOPs) to ensure meeting materials are provided on time, speakers are secured, and post-meeting follow-up is completed.
What you will be doing:
• Governance operations management includes providing governance support mainly to the PCMNO, Executive Committee, FAC, MNOCC and the AGA, including scheduling of PCMNO meetings and workshops.
• At request draft established governance processes and standard operating procedures.
• PCMNO Agenda Preparation via Nation Builder include tracking agenda items continuously and finalizing meeting agendas and public facing agenda in collaboration with the Chair, Vice-Chair, and C-Suite.
• Collaboration & Communication responsibilities include regular coordination with Executive Assistants (EAs), Events, Communications, Community Relations (CR), and other teams to ensure smooth operations and clear communication.
• Branch Briefing Notes & Updates include working with Directors and Managers to collect briefing notes and project updates for PCMNO meetings.
• Record of Decisions (ROD) Management by regularly meeting with Directors and Managers to follow up on RFAs and Resolutions to ensure accurate tracking and implementation.
• Ensure ROD for PCMNO and AGA is consistently updated and accurately reflects progress on action items and resolutions.
• Drafting meeting Minutes and summary for PCMNO, FAC, MNOCC, and AGA meetings, ensuring accuracy and professionalism. This Includes bulletin for town halls and timely distributing a meeting summary after every PCMNO meeting for posting on MNO website.
• Prepare and share meeting books (via BoardEffect) with participants ahead of PCMNO, FAC, MNOCC, AGA meetings.
• Prepare the Motions Minutes Report (MMR) and submit it to the Secretary-Treasurer for review and approval. Once approved, ensure it is circulated to Community Council Presidents.
• Onboarding and integration of new PCMNO members, coordination and management of the process in consultation with MNO Administration.
