Under the supervision of the Branch Manager, the Branch Office Administrator receives all persons entering the office, handles the telephone system, processes all incoming and outgoing mail and shipments, travel arrangements, and performs other duties as assigned.

Job Responsibilities:

  • Greets all persons entering the office, determines the nature of the visit, and arranges for the proper expedition of office visitors.
  • Operates the telephone system, including a public address system, and is responsible for knowing the location of all staff.
  • Opens incoming mail, stamps with the date, and routes daily.  Distribute interoffice mail.Processes outgoing mail checking for accuracy.  Delivers outgoing mail to the post office at the end of each day.  Maintains postage meter and area.  Orders supplies for the meter and additional postage as needed. Coordinates daily online shipments for UPS and FedEx shipments.
  • Enters checks from incoming mail into check log in Microsoft Excel; forwards checks to the Accounting Manager; runs a check log at week’s end for the President.
  • Performs typing of labels and envelopes. Produces proposal files and handles proposal filing.
  • Processes outgoing mail for the company daily.
  • Processes travel arrangements for Technical Groups and rental car requests company-wide.
  • Maintains the supply of forms in the supply room and printer area and restocks as necessary.  Takes responsibility for the orderly appearance of the Supply Room.
  • Orders all supplies including, but not limited to, office supplies, toner cartridges, specialty supplies (stamps, Rite books, letterhead), small office equipment supplies (staplers, tape dispensers, etc.), company letterhead, forms, and mailing labels. etc.
  • Oversees any office maintenance/needs.
  • Handles all non-confidential clerical duties for the Human Resources Department Manager.
  • Performs other duties as requested by the Senior Management Staff.
  • Performs other duties as required.

Qualifications:

  • High school diploma or equivalent experience
  • One year of experience in a general office environment, including working on a multi-line phone system.
  • Ability to follow oral and written instructions and courteously deal with people. 
  • Good oral communication skills, including business telephone etiquette. 
  • Knowledge of basic typing formats, techniques, rules, and familiarity with electronic typewriters. 
  • Good spelling, grammar, and punctuation skills are required and good organizational skills.
