Position Summary
Incumbents of positions in this series unpack and examine incoming goods; purchase supplies and equipment: store goods, supplies and equipment; mark identifying codes, etc. on articles; issue supplies, materials and equipment; maintain records; take inventories; and perform related work as required.
The basic purpose of this work is to receive, store, issue, ship and purchase supplies, materials and equipment for agency use.
Duties and Responsibilities
Assist with the day-to-day mail room operations.
Distribute and collect all incoming/ outgoing mail and USPS/Fedex/UPS packages within the building, including counting, weighing and/or sorting the incoming articles when required.
Responsible for all mailroom functions, including sorting, distributing, stage packages for pick up and handling of all incoming, internal mail and outgoing mail.
Ensure prompt and accurate handling of incoming, internal and outgoing mail ad to not leave any sensitive mail unattended outside the mailroom, marking appropriately when needed.
Receive, log, record and deliver USPS, FedEX and UPS packages and scan into SendPro system. Deliver and obtain signatures for all incoming packages when required.
Maintain records and logs of items received, issued and shipped, including description of articles, type and other identifying information in accordance with established mailroom procedures.
Ensure equipment is in good working condition, schedule equipment maintenance as necessary.
Take physical inventory of supplies and equipment to determine actual amounts on hand, review and/or reconcile stock records.
Review mailroom records for accuracy of information, compliance with agency procedures and to determine stock levels; Report any operational problems to management.
Observe work in progress of subordinates engaged in activities to ensure compliance with established standards.
Determine space requirements and methods of storage for articles.
Recommend methods and procedures to be used in handling, storing, issuing and shipping items.
Ability to prioritize workload and maintain all record keeping for the mailroom operations.
Keep mailroom clean and organized.
Interface with internal customers as needed.
Ensure that all packages received and delivered arrive the same day or advise the consignee or management of the next day’s arrival.
Utilize proper postage amounts and required identification to outgoing mail and packages.
Check weekly and replenish all mail and postage supplies as needed.
Make sure all incoming mail and packages including WB Mason are accounted for at the end of each day.
Print reconciliation report at the end of each day and file it accordingly.
Assist with mail pick up at the postal office and filling in for courier as needed.
Track various needed items using Microsoft Word and Excel.
Provide technical assistance to employees on methods to be used in storing, receiving, shipping and handling items.
Other duties as needed.
This position is on-site daily, 7:00am – 3:00pm. Overtime may be required periodically.
