JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Office of Undergraduate Studies in the College of the Liberal Arts (LAUS) is seeking an Administrative Assistant – Intermediate Support (Administrative Support Assistant 3) to serve in a key role as the assistant to the Associate Dean for Undergraduate Studies and provide support to the Paterno Fellows Program (the honors program in Liberal Arts).

The Administrative Assistant will also be the primary contact for LAUS events, including the Spring Graduation Reception and the Fall Festival, and communicate with students in a busy, team-oriented office environment. 

Key Responsibilities of the Administrative Assistant: 

  • Maintain the Associate Dean’s calendar: schedule meetings; compile and organize information to develop agendas and meeting materials

  • Support the Paterno Fellows Program and its Director: monitor student progress, track and communicate requirements of program, maintain the program’s website and social media profiles, produce weekly newsletter, and serve as program liaison to the Schreyer Honors College

  • Lead coordination and planning of unit’s special events, conferences, and other functions 

  • Create and maintain files, databases, contacts, and reports 

  • Monitor and maintain budgets, track expenditures, process purchasing for offices in unit 

  • Welcome and provide information to in-person visitors; respond to emails and telephone calls; sort and distribute postal mail

Education and Experience:
This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
