Job Description
We are seeking a highly organized and detail-oriented Customer Administrative/Fiscal Assistant to support our customer account management and fiscal operations. The ideal candidate will have experience in customer service within a health-related field or a strong background in customer account management, including accounts receivable activities. This role requires proficiency in MS Office, particularly Excel, excellent communication skills, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Customer Relations and Account Management:
- Provide exceptional customer service to internal and external stakeholders, ensuring prompt and professional communication.
- Assist customers with CP/Status reports and other inquiries related to their accounts.
- Coordinate with various FOH divisions to resolve accounts receivable issues, including chargebacks and credit card rejections.
- Support the maintenance and management of customer accounts, including entering funding levels and revenue estimates in the STM system.
Data Management and Reporting:
- Distribute, collect, and follow up on Population Survey data or other designated data information mechanisms related to various programs (EAP, BOHCS, SNAFC, RRB, etc.).
- Run and analyze utilization reports as needed, providing insights to the relevant departments.
- Research and compare GSA tenant lists with OHC participants, providing variance information to designated personnel.
Financial and Administrative Support:
- Assist with the preparation, update, creation, and closure of Per Capita IAA/SOW/WO, including data entry in STM and securing necessary signatures.
- Manage funding obligations, allocations, and de-obligations, ensuring accurate and timely entries in STM.
- Conduct charge QA related to per capita calculations and fund availability.
- Assist with the preparation of tenant meetings, ensuring all necessary materials and information are available.
File and Document Management:
- Maintain accurate IAA files, ensuring all financial information packets are securely mailed to customers and received via secure fax.
- Evaluate, notify, and review billing errors in collaboration with Operating Division Representatives.
- Manage and organize all related documentation, ensuring compliance with organizational policies and procedures.
Project and Task Management:
- Prioritize and manage multiple projects simultaneously, demonstrating strong organizational skills and attention to detail.
- Assist with the evaluation, notification, and review of population changes, working closely with the Per Capita Manager and Finance Manager.
- Perform other duties as assigned, supporting the overall efficiency and effectiveness of the department.
Qualifications
Education and Experience:
- Associate’s degree required, with 1 year of experience in customer service within a health-related field or 3 years of experience in customer account management service (including accounts receivable activities).
