Job Summary:
The purpose of the Logistics & Admin Coordinator is to coordinate general logistics and maintenance of site equipment and general administrative support while employing proper government laws and organizational policies.
Responsibilities:
• Collaborate with the vendors and internal personnel to coordinate shipping and receiving activities
• Coordinate on regular maintenance and checking of normal function of lab equipment, data log upkeep
• Assisting cross functional support: procurement of supply, special shipment of goods and samples, and receiving of inbound internal inventory shipments, etc.
• Quality Checking of outbound and inbound samples
• Handles daily domestic, import and export processes and documentation
• Assist Inventory management of client samples
• Provide shipping status and order visibility information as required to both internal and external clients, monitoring ship information, closing of shipped orders, order status, etc.
• Schedule outgoing shipments with approved carriers to successfully meet ship dates
• Prepare accurate air waybills and arranging for necessary shipping documentation
• Provide routing information to ensure that delivery times and locations are coordinated
• Arrange for storage facilities when required
• Assist with establishing SOPs for logistics, maintenance and general functions
• Assist with general administrative functions, organization of events
Minimum Requirements:
• Requires a High School Diploma/GED
• Requires 2-5 years of relevant global logistics experience
• Familiar with Oracle
• Flexibility to work across multiple time zones, including coordination with APAC teams
• High level of attention to detail
• Willing and able to work under the pressure of deadlines and find solutions to meet timelines
• Ability to work across departments by being a flexible team player with strong communication and interpersonal skills
• Comfortable using computers, including a working knowledge of Microsoft Office programs, e-mail, and internet
• Willing and able to work within a Quality System with oversight by QA and other regulatory bodies
• Exceptional organizational and time-management skills. Ability to multi-task with a high degree of professionalism and diplomacy
Preferred Requirements:
• Preferred experience working in a Biotech or CRO company.
