JOB SUMMARY:
Responsible for the intake of information from referral source and the scheduling of patients, and, when indicated by the specific workflow of the partner physician practice, may include creation of initial file, obtaining authorization, gathering appropriate information necessary to complete registration, and providing an appointment at an appropriate clinic for therapy. Ability to use a variety of computer-based platforms including EMR, Microsoft Office Suite, tracking systems, and web-based portals. Monitors appropriate reporting structure as directed by clinic director, area director, and regional vice president. This position is responsible for supporting the mission, vision and values of Upstream Rehabilitation.

QUALIFICATIONS - Required
Education
High School Diploma or equivalent.
Licensure
N/A
Skills
• Excellent communication skills, customer service and detail oriented.
• Ability to multitask, organizational detail, ability to meet deadlines, work with little to no supervision, as a member of a team, and possess efficient time management.
• Knowledge of computer programs including Word, Excel, Power Point, patient management systems, etc.
Environment
Works in office environment or remote home office.
Hours of Work
Monday through Friday during normal business hours. May be required to attend special events some evenings and weekends, and work overtime as requested.
Travel
Minimal/local travel.

Experience
• Customer service or similar position
• Preferred workers’ compensation experience
JOB FUNCTIONS
Reception
1. Answers all incoming calls.
2. Receives and distributes mail, faxes and phone messages appropriately.
3. Delivers an extraordinary customer experience to workers’ compensation customers.
Scheduling
1. Schedules new referrals received by referral sources according to physician practice protocol.
2. Creates new patient cases as instructed.
3. Gathers and accurately enters required patient demographics during initial phone call as instructed.
4. Advises new patients/clients of the clinic location, explains the first visit including appropriate clothing, length of visit and therapist’s name (including positive preview of therapist treating patient/client).
5. Answers questions that the referral source or patient/client have for attending visit or scheduling matters appropriately.
6. Obtains job description from referral source or DOT website for transmission to clinician as necessary.
7. Schedules new evaluations in accordance with physician and referral source orders within physician practice protocol.
Insurance
1. Records written or verbal authorization for workers’ compensation benefits accurately and provides documentation into EMR system as indicated by physician practice protocol.
Documentation
1. Maintains an orderly and organized workspace.
2. Ensures all documentation is completed accurately and on time within physician practice protocol.
3. Monitors reports related to central scheduling functions as directed by clinic director, area director, and regional vice president.
4. Assists in development of procedures and protocols to help the field in data entry of successive appointments.
Teamwork
1. Responsible for meetings with the larger therapy department team as directed by clinic director, area director, and regional vice president.
