Your Role
This role supports Stellarus and related activities within the Ascendiun Family of Companies, as appropriate. The Chief Information Officer team enterprise technology strategy, innovation, and execution across the organization. The Executive Assistant will report to the Chief Information Officer. In this role you will you will be a strategic partner and trusted point of coordination for the CIO and their leadership team. You will manage complex calendars, communications, and logistics, while helping to streamline operations and support high-impact initiatives. Your ability to anticipate needs, foster relationships, and maintain confidentiality will be essential to the success of the team and the broader organization. Your Work
In this role, you will:
Carry out administrative, analytical or procedural tasks with high degree of autonomy
Handle administrative matters, in the absence of, or on behalf of, the manager
Provide administrative oversight of third-party relationships through implementation of designated systems, routine monitoring of performance, and tracking of goods and/or services
Serve as administrative liaison between manager and direct reports and others within and outside the organization
Manage day-to-day organization of executive’s calendar, appointments, meetings, and related schedule
Leverage AI tooling and build out agents and systems to do your job most efficiently using tools like Microsoft copilot studio, figma AI and others.
Lead by example in the admin community and find ways to share best practices for leveraging AI to accomplish administrative tasks.
Small Event Planning for the organization- independently plan appropriate facilities, food, and IT support for meetings and events at Blue Shield facilities.
Ability to plan remotely.
Travel planning
Meeting management, developing notes and summaries of meetings, meeting scheduling, calendaring
Managing distribution lists
Your Knowledge and Experience
Requires a bachelor's degree or equivalent experience
Requires at least 5 years of prior relevant experience
Microsoft Office Suite including Copilot required, Planview, Apptio, Sharepoint, Jira, LucidChart desired.
Flexibility and resilience
Ability to manage multiple projects at once
