We are seeking a highly experienced Executive Assistant with a proven track record of assisting C-level executives. You’ll be supporting our Chief Insurance Officer, Chief Strategy Officer, and Chief Technology Officer out of our Waltham office. This role requires a minimum of 3 days in the Waltham office (Monday, Tuesday, and Thursday). The days that are required on-site will be set in coordination with the executives. Our ideal candidate will have 5-8+ years of experience supporting C-Level executives, and you’ll hit the ground running providing detailed support as their EA, as you are a self-starter who requires minimal supervision and direction. The role demands exceptional organizational skills, proactive problem-solving, and the ability to anticipate and address the needs of a dynamic, fast-paced executive team. The successful candidate will be a central figure in maintaining the efficiency and effectiveness of our leaders. You’ll report directly to the Chief of Staff, who is based out of our Palo Alto office. 

 

Responsibilities:

  • Manage day-to-day calendars & organize meetings, appointments, expenses, and travel for three C-level executives.
  • Organize & handle incoming meeting requests and correspondence through multiple channels, and manage sensitive information with discretion.
  • Review important tasks and identify/prioritize urgent matters that require an immediate response.
  • Attend meetings to compile notes and complex data from meetings. Create and maintain various databases and spreadsheet files. Track progress and completion of action items and provide reminders.
  • Plan and coordinate internal & external meetings in multiple time zones, as well as organize dinners and offsites. Frequent coordination & collaboration with our team in Israel will be required. 
  • Assist teams with presentations and various tasks as needed.
  • Collaborate with other Executive Assistants on key company events, meetings, and executive scheduling
  • A key challenge for this role will be to support multiple time zones, including scheduling changes for team members operating on IST, EST, and PST.

 

Requirements:

  • Proficient in Google (Gmail, Slides, Sheets, Docs), Microsoft Office Suite (PowerPoint, Excel, Word) & Zoom
  • Proven ability to work well independently, intuitively, and able to anticipate needs
  • Exceptional verbal and written communication skills, including the ability to effectively convey complex information and liaise between executives and various stakeholders.
  • Excellent organizational skills, attention to detail & follow-through 
  • Able to multitask in a fast-paced start-up environment & with multiple time zones
  • Maintains a positive, “can-do” attitude and professional demeanor
  • BA/BS Degree required
  • 5-8 or more years experience as an EA, preferably in a tech company
  • Minimum of 3 days in-person at the office in Waltham, MA

Within the range, individual pay is determined by additional factors, including, without limitation, job-related skills, experience, and relevant education or training. US annual base salary range for this full-time position: $84,000—$138,000 USD
