Description

PRINCIPAL FUNCTION: The role of the Event Operations Associate is to facilitate equipment set-up and strike for all events that take place at the Garden, as well as to maintain inventory of all event furniture and supplies. Event Operations Associate provides support to all events as assigned and maintains overall garden best practices and aesthetic standards pre and post-event.


ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Take charge of event preparation of the room set, including setting up tables, chairs, podiums, stanchions, etc.
  • Read, interpret, and execute all banquet event orders (BEO) as related to daily event set-up and strike, and willingness to adjust accordingly. 
  • Pay meticulous attention to detail to create visually appealing and welcoming event spaces.
  • Complete all setup and final breakdown of function, by returning equipment to its proper location.
  • Perform routine maintenance/upkeep/cleaning of equipment utilized for event setups (tables, chairs, drapery, etc.) before returning to storage 
  • Monitor and maintain the organization of storage and service areas. 
  • Monitor event spaces for functionality and report problems or challenges (lights, doors, equipment, etc.) as necessary to the supervisor.
  • Provide support to the Events Team to ensure all setup needs are in place for a seamless event experience
  • Communicate efficiently and effectively across various Atlanta Botanical Garden departments.
  • Deliver packages to all garden departments as deemed necessary.
  • Adhere to all ABG and departmental standards, policies, and procedures. 
  • Work and interact professionally with all levels of management and staff of the Garden.
  • Ability to work in a team environment to execute events at the Garden.
  • Required to respond to updates and emails from supervisor and/or team leadership.

Requirements

REQUIREMENTS:

  • Demonstrating flexibility to accommodate varying event schedules. Ability to work flexible and extended hours including nights, weekends, and holidays.
  • Takes personal responsibility for the quality and timeliness of work, and achieves results with little oversight. Shows up to work on time, and follows instructions, policies, and procedures. Meets productivity standards, deadlines, and work schedules.
  • Successful track record in executing setups from Banquet Event Orders and Diagrams
  • Be able to read and understand diagrams and all event paperwork 
  • Be able to lift and relocate chairs, tables, and equipment to various areas throughout the Garden
  • Must be able to work independently as well as on a team environment
  • Must be a self-motivated individual
  • Strong organizational and multitasking abilities.
  • Excellent interpersonal and communication skills.
  • Detail-oriented with a keen eye for aesthetics.
  • Be able to respond quickly and effectively to change
  • Be a creative problem solver and have excellent customer service skills
  • Must have the ability to communicate, confidently, and professionally with the Events Team and Supervisor
  • Be personable with a positive attitude
  • Must have access to reliable transportation and be able to report to work on a changing schedule.

PHYSICAL REQUIREMENTS:

  • Standing and walking 90% of the time
  • Position routinely requires the ability to lift up to 30 pounds.    
  • Must be able to work outside in the elements, including all seasons
