Duties and Responsibilities:
This position functions as the assistant to the Suncoast Region performing a variety of secretarial, administrative and office managerial responsibilities.
- Arranges circuit conferences and meetings. Receives and reviews incoming correspondence that does not require the SC Region Managers’ personal attention and distributes/routes to the appropriate staff. Prepares draft acknowledgment letters as required for the Managers’ approval signature.
- Handles Managers’ calendars and screens request for meetings, and other appointments. Acts as liaison between Managers and immediate staff as well as other personnel to transmit messages and information of importance. Answer inquiries from various personnel on procedure and policy, information desired or suggested contact with other personnel.
- Reviews and processes invoices ensuring information is accurate and complete. Complies with the mandatory requirements in Section 215.422, F.S. and Chapter 3A-20 of the Florida Administrative Code (timely processing of invoices). Also reviews and processes purchase requisitions, travel arrangements and reimbursement vouchers, and supply orders, resolving discrepancies.
- Performs additional duties as needed including but not limited to answering phones and or messages in a timely manner, photocopying materials, opening mail, drafting responses to correspondence and emails, ordering supplies, preparing and mailing Foster Home and Group/Facility licenses.
- Manages the compilation of feedback and submission of the Region’s Family Safety CFOP reviews.
- Performs other related duties as assigned.
