Job Title: Executive Assistant - Agency Operations & Marketing

Schedule: Monday–Friday, 1:00 PM – 10:00 PM Eastern Time (includes a 1-hour unpaid break). Flexible to work on Saturdays (still within the 40 hours/week)

Job Summary

Our client is a financial education agency dedicated to helping families understand how money works. We are seeking a dynamic and highly versatile Executive Assistant - Agency Operations & Marketing to be the operational and marketing assistant of our agency. In this role, you will be a trusted partner to our leadership, providing support, managing the agent licensing pipeline, engaging with clients, and contributing to our digital presence. Key Responsibilities

Agent Onboarding & Support

  • Lead new agents through the entire licensing process, providing tutoring, tracking progress, and ensuring all requirements are met for exam success.

  • Serve as the primary point of contact for the team, answering questions and providing ongoing operational support.

Client & Policy Administration

  • Act as a liaison with insurance companies, proactively following up to ensure policies are completed accurately and on time.

  • Ensure data integrity across all administrative platforms, maintaining meticulous and up-to-date client records.

Marketing & Client Engagement

  • Develop and manage the company's social media presence to increase brand awareness and engagement.

  • Assist in creating simple marketing content (graphics, posts, etc.) for various platforms.

  • Meet with clients to conduct onboarding questionnaires and ensure a smooth client experience.

General Operations & Executive Assistance

  • Provide executive assistant support to agency leadership, including calendar management and other organizational tasks as needed.

  • Manage the team's email inbox, responding to inquiries promptly and professionally.

  • Proactively identify and solve administrative bottlenecks to improve agency efficiency.

Requirements

Qualifications & Requirements

  • Advanced proficiency in Google Suite is essential.

  • Exceptional organizational and time-management skills, characteristic of a top-tier Executive Assistant .

  • Proven experience with social media management and basic content creation for a business or brand.

  • Excellent communication skills, with confidence and professionalism in client-facing meetings.

  • A proactive problem-solver who can manage multiple, diverse priorities and work independently.

  • Unwavering reliability with a stable, high-speed internet connection and a professional home office setup is a non-negotiable requirement for this role.

  • Experience in the financial services or insurance industry is strongly preferred.

  • HIPAA certification is a plus.
