The Assistant Manager of Operations Support will be accountable for assisting the Manager of Operations Support in the overall management of the Operations Support team, may step in for Manager in their absence. Aids in efforts to meet established department goals and minimize operational losses. The Assistant Manager is accountable for exceptional member service to every member, every time by ensuring employees consistently deliver extraordinary service to both internal and external members. Assists in the planning, organizing and directing activities of the Operations Support department. Major Duties and Responsibilities
- Manages direct reports to maximize productivity, efficiency, and the potential of the human assets of the company, including; tracking and monitoring staff performance, coaching, counseling, training, accountability and assuring compliance with regulatory requirements along with organizational mission, values, policies and work rules. Appraise performance and provide recommendations for promotion, disciplinary action and termination, as appropriate.
- Discovers the appropriate staffing levels and scheduling direct reports. Assists with Operations Support functions as needed. Performs duties related to the Operations Specialist role.
- Ensures that the Credit Union’s professional reputation is maintained, handling escalated member situations and resolving internal staff requests/questions promptly and courteously.
- Assists in the review of required reports and records to ensure that we are in meeting IRS requirements with the IRA portfolio. This includes the full IRA portfolio and vendor relationship with Ascensus.
- Oversees audit reports for Operations Specialists and the organizations automated systems. Ensures that operations are conducted in accordance with established Credit Union policies, legal and regulatory requirements, and audit standards.
- Participates in merger activities. This may include database verification, member correspondence, account clean up or any other task as assigned through the merger process.
- Assists with orientation of new employees, ensuring that direct reports are well trained in all phases of their respective jobs. Performs cross training as necessary.
- Assists with advocating for changes to established policies/procedures as related to staff and members, as well as creating, reviewing and revising policies/procedures as presented by Operations Specialists.
- Represents Operations Support leadership as necessary this includes but is not limited too assisting with Operations Support projects as assigned; along with providing assistance, direction and guidance for Operations Specialists.
- Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Additionally, all employees must follow policies and procedures to minimize risk by exercising judgment, raising questions to management, and adhering to policy guidelines.
Requirements
Experience
Three years to five years of similar or related experience, including preparatory experience.
