GENERAL NOTES

The Texas Center for Pediatric & Congenital Heart Disease (TCPCHD) is seeking a Senior Academic Program Coordinator to join their team as part of the Health Transformation and Design Program.

PURPOSE

The Senior Academic Program Coordinator provides strategic oversight and comprehensive administrative support for academic, training and continuing education programs within the healthcare system. Serving as the primary liaison for faculty, staff, and students, this role ensures the seamless delivery of academic services while maintaining compliance with institutional policies and standards. Working in close partnership with academic leadership, program directors, and administrative teams, the coordinator manages program logistics, supports curriculum implementation, and maintains accurate academic records. Through effective coordination and stakeholder engagement, this role plays a vital part in advancing the quality and impact of educational initiatives.

RESPONSIBILITIES

Oversees Academic Program Operations

  • Manages day-to-day operations of academic, training, and continuing education programs.
  • Coordinates academic calendars, course schedules, and program timelines.
  • Ensures alignment with institutional goals and academic standards.
  • Oversees onboarding and orientation for faculty, staff, and students.
  • Maintains program documentation and standard operating procedures.

Serves as Primary Point of Contact

  • Acts as the central liaison for faculty, staff, and students regarding academic program matters.
  • Provides timely and accurate information on program requirements, policies, and procedures.
  • Facilitates communication between departments, academic partners, and external stakeholders.
  • Supports faculty in curriculum planning, evaluation, and instructional logistics.
  • Resolves issues and escalates concerns as needed.

Provides Administrative and Logistical Support

  • Manages program budgets, procurement, and reimbursements.
  • Coordinates logistics for academic events, workshops, and training sessions.
  • Oversees inventory and ordering of educational materials and supplies.
  • Supports faculty development and student engagement activities.
  • Maintains organized records and documentation.

Supports Data Management and Program Evaluation

  • Collects and analyzes data related to program outcomes and participation.
  • Prepares reports for internal and external stakeholders.
  • Supports continuous quality improvement initiatives.
  • Maintains data integrity and confidentiality.
  • Utilizes academic management systems and tools.

REQUIRED QUALIFICATIONS

  • Bachelor's Degree in Business Administration, Healthcare Management, or a related field
  • At least 5 year(s) of experience in administrative or program coordination experience.

Relevant education and experience may be substituted as appropriate.

PREFERRED QUALIFICATIONS

  • Master's Degree in Business Administration, Healthcare Management, or a related field
  • At least 7 year(s) of experience in administrative or program coordination experience, preferably in a healthcare setting.
  • Certified Administrative Professional (CAP), Project Management Professional (PMP)

SALARY RANGE

$57,000+ depending on qualifications
