THIS POSITION IS A GRANT-FUNDED POSITION LOCATED IN KNOXVILLE, TN

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Program Support 1 supports the Department of General Dentistry by performing essential administrative functions including payroll, typing letters, reports, memos, dictation, scheduling meetings, and ordering office supplies. This position provides backup support for the Residency Coordinator.  

 

DUTIES AND RESPONSIBILITIES

  1. Manages faculty appointment paperwork for General Dentistry.
  2. Monitors and maintains updated CVs on each faculty member for the General Dentistry Program.
  3. Creates notes, letters, and memos for the Department Head.
  4. Manages phone/email answering and messaging and distributes and sends mail/parcels for the department.
  5. Performs monthly payroll; manages and maintains invoices for special pay faculty members; arranges reimbursements and other accounting functions.
  6. Provides administrative support to the Program Director, Faculty for General Practice Residency, General Dentistry Faculty, and Volunteer Faculty.
  7. Manages meetings and conference calls; schedules continuing education, seminars, lunch and learn, etc.
  8. Reconciles departmental ledgers, maintains records, and routes invoices to the business office for payment.
  9. Coordinates Department of Dentistry events.
  10. Performs other duties as necessary.
 

Qualifications

 

MINIMUM REQUIREMENTS:  

EDUCATION:  High School Diploma or GED.  (TRANSCRIPT REQUIRED) 

EXPERIENCE: Four (4) years of experience; OR Bachelor’s Degree in lieu of experience; OR  a combination of education and work education to equal four (4) years.  

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work in a fast-paced environment.
  • Ability to multitask and prioritize duties.
  • Knowledge of basic computer skills including Excel, PowerPoint, and Word.  
  • Ability to communicate effectively with a diverse range of individuals throughout the organization.
  • Strong organizational skills.
