Position Summary

The Administrative Assistant and Receptionist, Advancement Administration will report to the Senior Business Manager and is responsible for the West Campus reception desks and the administrative support of Advancement Administration operations. This position will work closely with and receive direction from the Administrative Coordinators for Office Services. This position is part of a team that is responsible for efficient and organized operations for over 450 staff in University Advancement.

Job Description

Primary Duties & Responsibilities

Reception and Safety

  • Serve as one of the vital communication links for University Advancement internal staff and external visitors.
  • Communicate professionally at all times, greet and assist those who call or visit the University Advancement spaces.
  • Serve on the Advancement building safety committee.

Conference Room Management

  • Serve as the key contact for scheduling and managing 26 meeting rooms for University Advancement.
  • Provide basic audio/visual support to select meeting rooms.

Office and Building Support

  • Act as point of contact for support of several office management activities for all advancement staff such as updates to the directory, shipping and mailing, ordering business cards, nametags, letterhead, supplies, and facilities requests.
  • Perform other duties as assigned.

Preferred Qualifications

  • Associate degree or equivalent knowledge or specialized business training. 
  • Previous administrative experience within a university setting.
  • Ability to have a “can do” customer service attitude and strong organizational skills, as well as the ability to use discretion, work under multiple deadlines, and use professional judgment.
  • Courteous interpersonal skills to work with internal and external individuals are essential. 
  • Excellent verbal and written communication, organizational and prioritization skills are needed.
  • Ability to manage competing priorities with minimal supervision.
  • Excellent keyboarding and proofreading skills with precise attention to detail is required; ability to thoroughly follow instructions; and high proficiency in working with Microsoft Outlook and Word, plus intermediate proficiency with Excel. 
  • Mature attitude and the discretion to appropriately handle confidential information.  
  • Overall willingness to learn and understand the mission of Washington University.

Required Qualifications

  • High school diploma or equivalent high school certification.
  • One year of experience in an office or administrative support position.

G06-H

Salary Range

$17.87 - $27.06 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
