Footprint is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Senior Vice Presidents of Sales and Manufacturing, as well as the General Counsel. Essential Duties and Responsibilities:

  • Maintain the executive's calendar, scheduling appointments, prioritizing tasks, and managing daily commitments effectively.
  • Organize meetings, send reminders, and coordinate logistics, including arranging catering when necessary. In addition, may be required to accurately record meeting minutes.
  • Greet and screen visitors, determining their purpose and directing them accordingly to meet with executives.
  • Make domestic and international travel arrangements for executives and teams, including booking flights, accommodations, and creating detailed trip itineraries.
  • Provide comprehensive administrative assistance, such as writing and editing emails, drafting memos, and managing executive communications with precision and attention to detail.
  • Answer phones, screen calls, and route inquiries to the appropriate individuals, while also taking accurate messages when necessary.
  • Maintain organized corporate records, documents, and reports, ensuring efficient filing and retrieval systems.
  • Conduct research and gather data to compile documents for review and presentation by executives and board of directors.
  • Utilize various software applications including word processing, spreadsheet, database, and presentation software to facilitate administrative tasks.
  • Read, analyze, and distribute incoming memos and submissions, ensuring timely and appropriate dissemination.
  • Perform additional duties and responsibilities as assigned or directed by the manager, demonstrating flexibility and adaptability in supporting executive needs.

Knowledge, Skills, and Abilities:

  • Proficiency in MS Office suite.
  • Strong organizational skills for prioritizing tasks.
  • Deadline-driven in fast-paced environments.

  • Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors, fax machines).
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.

Requirements

Minimum Qualifications:

  • 5+ years of executive assistant experience, preferred
  • 5+ plus years’ related experience with proven office administration and customer service skills required.
  • College degree preferred, or an equivalent of education plus experience in an office environment.
