Summary of Job Duties:

The Administrative Assistant is responsible for coordinating the various office duties below at the Lonoke Extension Center:

Job Duties:
25% Prepares and submits travel forms, expense reimbursements, time/leave reports, and online requisitions for invoice payments with specific funds for payment. Provides required documentation to expedite payments and reimbursements.

10% Keeps calendars for assigned faculty. Assists with arrangements for upcoming meetings, seminars and trainings and with the preparation of documents or materials that may be needed. Makes arrangements for meeting facilities, transportation, lodging, catering and/or meals.

30% Performs administrative duties for the Newport Extension Center as well as assigned state Extension faculty located at the Lonoke Extension and Research Center. Maintains knowledge and understanding of Division and Extension policies. Provides written and verbal responses to inquiries and interpret relevant institutional directives, policies and procedures to ensure consistent application by faculty and staff. Assists faculty with hiring procedures and act as liaison with Employment Manager and Administrative Assistant-ANR for compliance and processing of documents.

20% Assists faculty with departmental, grant and ADC funds by monitoring for accuracy and reviewing expenditures. Maintains confidential records on budget accounts, personnel, grants, payroll and salary information.

5% Assists assigned departments with inventory control of equipment. Orders and maintains sufficient stock of office supplies.

5% Maintains correspondence and subject matter files for assigned faculty. Answers phones, directing calls and responds to inquiries and requests for information. Processes incoming and outgoing mail. Handles routine correspondence.
