Why this role matters

The primary function of this role is to support and assist with preparations for our upcoming sales.  This will include monitoring and tracking all activities and elements related to incoming property; the catalogue production process; as well as all sale related deadlines, client paperwork, and charges to ensure they are accurately reflected in Christie’s systems. The individual will also act as client liaison when appropriate to gather or dispatch consignment and property related information. In addition, the Temp Sale Coordinator provides Business Team support.  We are looking for a hard-working, energetic, and intellectually curious self-starter who can thrive in a high-pressure environment.

 

How you'll make an impact

  • General department administrative tasks as assigned by Sale Coordinator or Business Manager

  • Keeping all data up to date in Christie’s internal systems

  • Liaise with clients as needed for all consignment related information, details, and issues

  • Oversee seller agreement and stock order creation and dispatch including gathering all compliance documents from clients

  • Oversee tracking status of consignment paperwork to ensure compliance requirements are met and required records are maintained

  • Oversee shipping requests, including client approvals, export licenses, and scheduling

  • Proactively track receipt of property and follow-up on open issues and missing items

  • Oversee Expertise, Framing and Restoration needs for sale including quote requests, client communications, status of service requested and related client charges

  • Assist with Property Movement: request and track site transfers, local transfers, temp releases, transfer to third party, and hand carries, and provide appropriate information to central support group as required

  • Oversee tracking client charges including all requests for creation through central support group and regular review of system data to ensure accurate reporting

  • Support Head of Sale with catalogue production process including cataloguing, photography, essay writing, lotting up and copyright status; act as main point of contact and liaison with photography studio, production teams and Specialists

  • Oversee tracking all items details to ensure sale and catalogue deadlines are met and all compliance is met; sit in on hilling sessions to monitor activity and required actions as needed

  • Oversee tracking of seller marketing promises including managing cross marketing advertisements and website early sale highlights, as well as helping to coordinate highlights previews, international and regional tours, and events

  • Act as liaison to Operations for sale view and set up and prepare relevant assets, as required

  • Assist with reserve amendments and ensure relevant pre-sale documentation is sent to client

  • Assist with installing for auction previews, which includes compiling, printing, and mounting lot cards for each work

  • Oversee sale activities including client views, condition report dispatch, bids, and sale ticketing requests

  • Oversee interest meetings, including room booking and minute taking

  • Oversee sale week tasks including logistics and aftersale tracking

  • Oversee preparing information for handoff to Post-sale Service team

  • Support client research; compiling spreadsheets of competitive sales; and maintaining sale analytic spreadsheets

  • Manage client relationship including meeting arrangements,
