About This Opportunity
We are seeking an Administrative Assistant (AA) who provides a broad spectrum of administrative support services to support programs and staff across the Mountain West division. The AA assists the engineering team in the delivery of industrial energy efficiency technical services by reviewing various reports and project tracking for accuracy in grammar, structure, and compliance with customer contractual requirements such as due dates, format, and report content. The AA is responsible for keeping our project and program information up to date in our tracking systems. This includes setting up projects, running workflows, and using the systems to create reports. Working closely with senior program specialists, analysts, and program management staff, the AA will be part of the teams driving savings in multiple programs across the division.

What You Will Be Doing:
• Data Entry and maintenance of internal database and accounting systems for accurate status, tracking, and monitoring to ensure projects are proceeding as planned to support Sr Program Specialists and Analysts, includes running flows and processes and making sure all are working properly
• Prepares billing notices and assists with project closeout
• Communicate with internal and external stakeholders via phone, email, and in-person to collect information about projects, and respond to each in a timely manner
• Arrange weekly department meetings for the engineering group, which may include coordinating internal training or lunch & learn meetings with vendors
• Manages the SharePoint worksite for the engineering group and assists with other resources
• Respond to frequent requests for information
• Reviews written correspondence (such as reports, letters, memos) for compliance with internal procedures for established quality control (grammar, structure, format, and report content)
• Manage general business needs of the office, including ordering supplies and supporting team members with special projects
• As needed, will help with other programs in the division and the company
This is a full-time, non- exempt position near our office location in Pleasant Grove UT. Minimal travel is anticipated for this role.

Qualifications
Applicants for this role are required to have:
• Associates degree required; Bachelor's degree preferred
• 2- 4 years previous experience in a professional office environment
A successful candidate should also demonstrate these preferred characteristics and/or skills:
• Strong communication skills both written and verbal
• Proactive, resourceful, and highly motivated to efficiently organize, prioritize and plan works tasks to meet department goals
