About the role

Description

The Administrative Assistant III performs routine administrative actions in support of the department and department director(s). The Administrative Assistant III will also maintain a close and highly responsive relationship to the day-to-day activities of the supervisor and staff, works independently receiving a minimum of detailed supervision and guidance, and performs various clerical and secretarial duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. Typical support actions include word processing, spreadsheet creation and maintenance, filing, preparation and review of general correspondence, answering telephones, greeting customers and company personnel, email monitoring and providing appropriate responses, processing company and intradepartmental mail. 


  • Knowledge of modern office practices and procedures.
  • Screen telephone calls, visitors, and incoming correspondence; personally respond to requests for information concerning office procedures; determine which requests should be handled by the supervisor, appropriate staff member or other offices. 
  • Collect information from the files or staff for routine inquiries on office program(s) or periodic reports and refer non-routine requests to supervisor or staff.
  • Creates spreadsheets, composes correspondence, manages databases, and creates presentations, reports and documents as assigned.
  • Schedules activities as directed. 
  • Makes photocopies, fax documents and performs other clerical functions as annotated in company policies, department practices, standing operating procedures, or as directed by the department director. 
  • Prepares files and files papers and documents into appropriate files. 
  • Prepares provided general correspondence for the department director and other department employees as directed by the department director. 
  • Processes department mail including the preparation and receipt of FEDEX and UPS shipping. 

Requirements

  • High School Diploma or General Equivalency Degree
  • Minimum of 3-year of experience in a professional office

  

Preferred Knowledge, Skills, and Abilities: 

  • Knowledge of modern office practices and procedures.
  • Must be able to operate and answer the telephone responsively and professionally IAW supervisor instructions.
  • Must be able to maintain confidential information and exercise discretionary judgment using department director guidance to serve the best interests of the company.
  • Ability to proficiently operate a desktop or laptop personal computer and standard office equipment. 
  • Must be proficient with Microsoft Word, Microsoft Outlook, Microsoft Excel software programs and the Internet. 
  • Ability to type 35 words per minute.
  • Associates degree from an accredited college, university, or trade school.
  • 4 years’ experience in a professional office.
  • 3 years’ experience working in an administrative role.
