SUMMARY
The Administrative Assistant supports the mission of the CHS by performing clerical and administrative tasks for the Service Coordination Team.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Delivers quality supports to Service Coordinators by, proofreading, and making edit to Individual Service Plans (ISP) and addendums for grammatical, punctuation, and formatting errors. Tracks various documents by reviewing required signatures and completion to include but not limited to, ISP, Addendum, Service Monitoring (MRMQS), new referral contacts, discharge process, and quality assurance metrics.
- Processes seminar and training requests for respective teams by making hotel reservations, online seminar registrations, and processing the Credit Card Vouchers and/or Purchase Vouchers as assigned.
- Updates and audit program information by reviewing caseload assignment, weights, Medicaid eligibility and address in SETWorks, and other external databases, in addition to other trackers.
- Provides document Management by filing and distributing to internal systems and interested parties as needed. Notarizes documents as needed and applicable to county/team.
- Maintains office supplies by following the approval process as applicable, records and distributes various meeting minutes. Accepts and is willing to carry out special assignments or duties when requested.
- Provides backup support to the Support Technicians, by answering phones, greeting customers and directing calls to appropriate staff, and taking messages as needed. Create a Culture of positive Communication and safety by presenting a positive attitude and demeanor when working with consumers, co-workers, families, guardians, community providers and other stakeholders.
