Purpose
The TIE Accounts Payable supports the Texas Institute for Electronics by processing invoices for goods and services.
Responsibilities
Invoice Processing: Receive and review invoices from vendors, ensuring they are accurate and complete. verify that the invoice matches purchase orders and receipt of goods/services. Resolve discrepancies in invoice amounts, purchase orders, or receipt records by collaborating with internal departments and vendors. Manage the departmental invoice mailbox including updating internal payment tracking system and ensuring timely responses to vendor inquiries.
Payment Processing: Execute payment transactions in accordance with vendor terms and deadlines to avoid penalties. Track outstanding invoices and escalate issues to prevent delays. Complete monthly P-Card reconciliations, ensuring all required documentation is accurate and retained.
Compliance & Documentation: Ensure processes align with university, state, and federal regulations, including record retention policies. Maintain documentation and implement best practices.
Other: Serve as a backup to team members during peak workload periods or absences.
Required Qualifications
Bachelor’s degree in business, accounting, or a related field or high school diploma/GED with at least 4 years of relevant accounting and payment processing experience. Strong organizational and time-management skills, with the ability to prioritize multiple tasks in a deadline-driven environment. Proficiency in Microsoft Excel, Word, Adobe, and DocuSign; ability to quickly learn other enterprise financial systems. Knowledge of policies and procedures governing accounting transactions. Strong analytical and problem-solving skills. Excellent written and verbal communication skills with a professional demeanor and customer service focus. Ability to work independently and collaboratively, maintaining high accuracy and attention to detail.
Preferred Qualifications
More than the required education and progressively responsible experience in finance or accounting. Experience with University of Texas at Austin financial systems (DEFINE, PointPlus) and State of Texas vouchering and procurement policies. Prior experience supporting large research or capital projects involving complex vendor relationships.
Hourly Rate
$25 + depending on qualifications
