The Walsh School of Foreign Service (SFS), founded in 1919, is a premier school of international affairs. SFS provides a rigorous education grounded in both theory and practice while instilling the Jesuit value of service. Father Edmund A. Walsh, S.J.’s vision was a school that would prepare students for all major forms of foreign representation — official and unofficial, governmental and private sector, whether commercial, financial, consular or diplomatic.

The Temporary Program Associate is responsible for event management, program administration support, and faculty support for the Alwaleed Center for Muslim-Christian Understanding (ACMCU). Additional duties include, but are not limited to:

Event Management and Outreach

  • Reserve essential components for each event, including venues, caterers, flights, accommodations, transportation, and speaker honoraria, managing events from setup to cleanup.

  • Maintain internal documentation systems on events, coordinating with cosponsors involved in the event and with the University Office of Communications on protocol and security.

  • Support the Director of Programs to reconcile all financial transactions associated with events, including payments to/disputes with vendors.

  • Support the Digital Communications and Multimedia Manager to increase event visibility among ACMCU network as needed, performing any other duties as related to the planning/running of an event.

  • Monitor and enhance metrics to measure the effectiveness of ACMCU's public events for communications, academic outreach, and institutional growth.

  • Conduct background research on speakers, organizations, institutions, or other potential partners as needed, utilizing ACMCU's online presence, visual designs, and usability to enhance audience interaction with the centers' activities, mission, and objectives.

  • Coordinate with other departments or external groups for events in which ACMCU is a partner or participant.   

Program Administration and Faculty Support

  • Manage ACMCU office operations, including reception, procurement, supply inventory checks, conference room reservations, and related functions. 

  • Provide Director of Programs with all details needed for requisitioning.

  • Supervise student employees in office duties and work with Director of Programs to manage student work load.

  • Solicit and maintain course descriptions, syllabi, and reading lists from faculty, preparing and distributing office hours and teaching schedules each semester.

  • Process book orders, library reserves, and related items for faculty. 

  • Assist faculty, visiting researchers, and affiliates with onboarding, providing administrative support to the Director and Director of Programs.

Work Interactions

The Temporary Program Associate reports to the ACMCU Director of Programs and works closely with the faculty and staff of ACMCU and the Bridge Initiative.

Requirements and Qualifications

  • Bachelor’s degree and at least 2 years of related professional experience, preferably in a university setting

  • Excellent interpersonal and written communication skills as well as ability to work individually and with groups from diverse cultural backgrounds

  • Meticulous attention to detail, deadlines, and customer service are expected

  • Strong and up-to-date computer skills, including the use of word processing, spreadsheet and specialized database software as well as Web 2.0 and social media platforms

  • Ability to take direction from others, collaboratively problem-solve, and enhance regular processes

  • Ability to work independently and respond effectively to unexpected challenges
