Front Desk Receptionist

Location: Irvine, CA (On site) | Type: Full Time | Pay Range: $18-$25 an hour

As our Front Desk Receptionist, you’re one of the most important team members at Norm Reeves Collision Center, Irvine. You’re responsible for creating a super Norm Reeves Honda experience!  

Your work will ensure our guests leave 100% satisfied with their Norm Reeves Honda experience.  

Key Responsibilities: 

• Manage daily office operations: phone, email, appointment scheduling, customer intake/vehicle check-in, and check-out.
• Liaise with insurance adjusters, claims representatives, and tow companies.
• Handle customer communications, resolve issues, and ensure a positive customer experience.
• Process invoices, payments, deposits, and basic bookkeeping (accounts receivable/payable).
• Maintain accurate customer information, manage shop management software (e.g., CCC, Mitchell, Audatex, or similar).
• Order office supplies and post vendor invoices.
• Train and supervise front-office staff; enforce office policies and safety/cleanliness standards.

Qualifications: 

• 3+ years office/administrative experience; preferred 1–2 years in an auto body or collision center.
• Strong knowledge of insurance claims processes and shop management software preferred.
• Proficient with MS Office (Excel, Word) and comfortable learning new systems.
• Excellent verbal and written communication; strong customer-service skills.
• Organized, detail-oriented, able to prioritize and multitask under pressure.
• Basic bookkeeping/accounting skills; experience with CCC & Dealerbuilt a plus.
• Valid driver’s license
