About the role

The Senior Administrative Assistant will serve as the main point of contact for internal and external communications related to the Director's work, helping to ensure timely and effective execution of priorities. This position requires strong organizational skills, attention to detail, the ability to manage confidential information, and a solid understanding of business healthcare operations.  Job Duties and Responsibilities:
  • Calendar Management: Organize and manage the Senior Director’s calendar, scheduling meetings, appointments, and travel.
  • Computer Skills: Proficient at Microsoft Word, Excel, Outlook and PowerPoint
  • Communication: Serve as the main contact for internal and external communications, handling emails, calls, and inquiries.
  • Meeting Support: Arrange and coordinate meetings, prepare agendas, take notes, and ensure follow-up actions.
  • Document Preparation: Create and organize reports, presentations, and other documents for the Senior Director and team.
  • Project Support: Assist in tracking and supporting operational projects, ensuring timelines and deliverables are met.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality.
  • Travel Arrangements: Plan and organize travel, including transportation and accommodations, adhering to company policies.
  • Cross-Department Collaboration: Work with other teams (HR, finance, clinical) to support operational initiatives.
  • Ad-hoc Assistance: Provide support for special projects or tasks as needed.
Qualifications:
  • College degree and/or at least 1 year of administrative support experience, preferably within a healthcare setting
  • Ability to communicate effectively
  • Excellent customer services skills
  • Excellent personal, telephone and written communication skills
  • Assertive and can work with limited supervision
  • Ability to multitask and balance changing demands
  • Great organizational skills and detail oriented
