This position reports to the Director of Business Integration & Optimization and also supports one of the Directors of Alliance Management and two of the Directors of Alliance Development. The position is based in Lake Buena Vista, Florida, but also supports individuals in our California office from time to time.
You would be responsible for the day-to-day workings of the leaders you support. From expense report and travel planning to endless calendar jockeying, this job is very much about people. The relationships you form with the executives you support are absolutely critical because that’s what enables you to become a true partner.
Responsibilities:
Travel Itineraries: Create travel itineraries considering time zones, weather delays, traffic, and fatigue levels.
Schedule Management: Review and manage the leader’s schedule to include time for emails, strategizing on projects/presentations, and travel.
Prioritization: Understand daily priorities to strategically direct phone calls and meeting requests.
Meeting Coordination: Schedule conference rooms, meetings, and video chats.
Crisis Management: Adapt to emergencies by adjusting schedules and resuming normal activities once resolved.
Confidentiality: Handle extremely confidential and sensitive information, keeping in mind that Disney is a publicly traded company.
On-boarding: Assist with on-boarding new employees, acting as a friendly face and resource for questions.
Vendor Management: Manage large purchase orders and vendor contracts.
Event Planning: Plan events such as off-sites and team-building activities.
Basic Qualifications:
At least 3+ years of experience supporting director-level executives or equivalent experience.
Sharp written and verbal communication skills, including strong grammar and a rich vocabulary.
Desire to learn all aspects of the executive’s business.
Ability to multi-task and prioritize deadlines/deliverables.
Strong proficiency with computers, office equipment, and mastery of Microsoft Office programs, Coupa, and Concur.
Ability to maintain a calm head and steady hand in unexpected situations.
Adept at building bridges, forging alliances, and encouraging people to want to work with you.
Complete reliability in handling confidential and highly sensitive information.
Desire to be genuinely helpful to leaders and co-workers, going the extra mile without being asked.
Some flexibility in schedule, valuing work/life balance but willing to extend hours when needed.
Very strong organizational skills and extreme attention to detail.
A highly professional demeanor, positive outlook, resourcefulness, and a can-do attitude.
Preferred Qualifications:
Experience at The Walt Disney Company.
Experience working in a large public corporation.
Good knowledge of and interest in marketing, advertising, and entertainment.
Required Education:
Required-Bachelor’s degree and/or equivalent experience
