About the role

The Athletics Business Affairs Manager will play a pivotal role in the daily operations of the Athletics Business Office. Reporting directly to the Associate AD – Business Affairs, this position will oversee the Athletics Cashiers Office and manage a variety of fiscal, reporting, and administrative responsibilities to ensure smooth financial operations within the department.

 Fiscal Operations     

  • Deposits all athletics department revenues including but not limited to, ticketing, foundation, Arena, and camp revenues
  • Prepares monthly revenue tax reconciliation and payment
  • Assists in the monthly expense reconciliation process 
  • Manages athletics petty cash accounts, including US Bank per diem cards & Truist Mileage account
  • Enters Journal vouchers
  • Monitors coaches and staff credit card transactions and communicates issues to the Associate AD Business 
  • Reviews and approves ledgers monthly and annually 

 

 Reporting & Policies/Procedures

  • Assists Associate AD with annual budget development and year end close process
  • Assists budget office with the preparation of the NCAA Agreed Upon Report
  • Produces quarterly budget updates for teams and departments
  • Updates and trains department employees on fiscal policies and procedures; monitors and ensures compliance with such matters
  •  Attends available training courses provided by campus relating to DASH (Oracle) system processes and functionality
  • Assists in the development and implementation of policies and procedures, process improvements, and other special projects

 

 Administrative 

  • Assists the Administrative Assistants as needed
  • Processes purchase of equipment and operating supplies including computers, office supplies, athletic wear and gear, team nutrition and printed materials
  • Consistently monitors purchases, creating purchase requisitions when needed, always following university  polices
  • Prepares and processes invoices 
  • Prepares and submits T-4s, transfer vouchers, T-27s, T-29s, and other financial documents
  • Monitors accounts to ensure that expected vendor payments and payroll have been made
  • Verifies and reconciles personal procurement card
  • Submits payroll for bi-weekly staff
  • Creates vendors
  • Prepares and processes contracts
  • Provides oversight of interns, student workers, work study, or graduate assistants for the ABO (Athletics Business Office)

 

The ideal candidate will possess the following:

  • Proficiency in financial software systems (e.g., Oracle DASH) and Microsoft Office Suite
  • Excellent communication skills for interacting with internal teams and external stakeholders
  • Ability to manage multiple projects simultaneously while meeting deadlines
  • Strong organizational skills with attention to detail
  • Knowledge of University and NCAA policies

Minimum: Requires a high school diploma and five years of relevant experience in accounting and/or collegiate athletics business office. 

 

Preferred: A bachelor’s degree, previous collegiate athletics experience with a strong accounting background, and experience with an oracle product is preferred.
