RER Solutions, Inc., is accepting resumes for an Executive Administrative Assistant to join our superior workforce. The Executive Administrative Assistant will provide onsite and remote federal program support to the Federal Housing Finance Agency’s (FHFA) office of the Chief Operating Officer.
RESPONSIBILITIES:
- Perform various tasks to facilitate the management and execution of office functions.
- Assist with scheduling internal and external meetings, appointments, and conferences.
- Assist executives, management, and staff during meetings to include, but not limited to (1) arranging meeting set-up for in-person, virtual, and hybrid meetings, (2) coordinating logistics (reserving space, drafting agendas, disseminating copies and meeting material), (3) recording meeting minutes and tracking and input after actions into the tracking system.
- Answer telephone calls and route to the appropriate staff member as necessary.
- Receive visitors when required and direct them to the appropriate location or staff member.
- Aid the executives, management, and staff in submitting and completing visitor access and parking requirements for official meetings and office visits.
- Create basic and edit non-technical documents using appropriate word processing software. These documents may include, but are not limited to, form letters, memoranda, speeches, and reports.
- Support executives, management, and staff to ensure the proper declaration, management, and disposition of Agency records per FHFA’s Records Information Management (RIM) policy.
- Monitor office supplies in the designated location for executives, management, and staff and reorder and restock as necessary.
- Monitor all office equipment and contact the appropriate staff or service personnel when problems arise.
- Receive, sort, distribute, redirect, forward incoming mail, and maintain a tracking system for incoming and outgoing controlled mail.
- Assist in the preparation of travel arrangements and related documents.
- Assisted executives and staff with the training request process, monitored training requests for division/office staff and assisted with scheduling and liaison with the appropriate office to ensure processing.
- Monitor/input required time card data for payroll processing and verify data entry for accuracy and timely submission.
- Review business processes, identify opportunities, and present recommendations for improvement or reengineering.
- Coordinate and submit requests for small purchases to the BOB Lead Program Analyst for final purchase; Conduct a monthly reconciliation of purchase card transactions; Maintain record keeping and documentation in designated electronic files; Review purchase card transactions to ensure adherence to OBFM Credit Card Guidance; Draft responses to quarterly audits of the purchase card transaction.
Requirements
- Minimum of US Citizenship required to obtain client-issued Public Trust
- Two (2) years of experience performing administrative duties is required. At least one (1) year of experience gained through employment with a contractor is desired.
- Knowledge of the procedures and use of systems related to records management, SharePoint or similar, information systems, human resource information systems, correspondence systems, travel systems (Concur), and payroll systems (PRISM & QuickTime).
- Excellent written and oral communication skills
- Excellent attention to detail and an understanding of fundamental business writing
- Expertise in Microsoft Office Products (i.e., Word, Excel, PowerPoint, and Outlook)
EDUCATION
Associate's Degree or three years of experience performing administrative duties related to the Federal Government experience may be substituted in lieu of education.
