Part Time External Events Liaison

General Purpose and Scope of the position: Serve as the main contact with community partners, organizations, and local groups who inquire about the use of Ivy Tech Community College Bloomington space for their meetings or events; collaborate with these partners to confirm space availability for their events. Provide administrative support to the Director of Finance.
Major Responsibilities: Handle all inquiries from external partners; gather initial event logistics and check availability of and assign appropriate space; facilitate contract process to confirm reservations. Schedule tours of our space and talk through event logistics with external partners prior to their events; prepare and share event diagrams with external partners. Collaborate with 25Live Campus Data Administrators to ensure reservations have been added to our system via room scheduling software. Effectively communicate all set-up instructions, including applicable event diagrams, with in-house facilities, security, and information technology teams. ensure that the applicable equipment has been tested and is working properly and ready for events;. Prepare invoices of space rental and security charges when appropriate by collaborating with business office and security office.
ADDITIONAL DUTIES/RESPONSIBILITIES: Provide administrative support to the Director of Finance and, when requested, the Vice Chancellor of Finance. Assist as needed with campus events, receptions, and meetings hosted by the Chancellor’s Office. Maintain confidentiality and a professional demeanor at all times.
Minimum Qualifications: 2 years of related work experience required. Must have excellent interpersonal, verbal, and written skills and ability to present a positive, customer-oriented attitude and professional image. Experience with computers, presentation software, and software applications including PowerPoint, Word, and Outlook. Must be reliable and have a flexible schedule (including some evenings and Saturdays) along with the ability to work in-person.
Preferred Qualifications: An associate’s degree in related field or prior event coordination experience is beneficial.
