About the role

Clean Harbors located in Norwell, MA is seeking a Field Administration Manager to join our team. The Field Administration Manager is primarily responsible for working with the remediation groups administration staff to support the remediation branch of Clean Harbors.  

Location: Norwell, MA- not a remote position; will need to be in office daily. Occasionally very light travel to a project or team event may be required a few times a year.

Pay: $60-75K DOE

Key Responsibilities:

  • Ensuring that Health and Safety is the number one priority by complying with all safe work practices, policies, and processes and acting in a safe manner at all times;
  • Creates purchase orders for assigned branch(s) expenditures and job related purchase orders;
  • Works closely with collectors and Regional Finance Manager to assure proper extension of credit to customers;
  • Creates sales orders for customer service requests;
  • Reviews open sales orders and closes where appropriate;
  • Manages customer PO details per the Company Policy;
  • Assists the management team in the hiring process (i.e. drug screens, physical scheduling etc.);
  • Supervises assigned administrators, ensuring daily work is properly and timely completed;
  • Generates and assists with quotes to customers based on input received from Specialists and/or Account Managers;
  • Identifies questionable quoted disposal, transportation, labor or material rates and presents it to business leaders before quote is released; 
  • Resolves all off specs within 48 hours and communicates with appropriate teams;
  • Initiates new customer account set up that result from incoming service requests and ensures customer information is accurately input into the system;
  • Scheduled transportation with appropriate logistics office for disposal pickups;
  • Ensures payroll reconciliation is tied to company deadline; ensures documentation of field personnel hours;
  • Purchases all general office supplies. Involved in operation and maintenance of hardware;
  • Assist in the development of reports, manuals, agendas, and other project documents;
  • Develop financial, disposal, and other logs required to track the progress of projects;
  • Manage purchase orders, vendor invoices, and other financial aspects of a project;
  • Acquire transportation and disposal knowledge throughout the shipment process;
  • Coordinate schedules and appointments for field and other team members;
  • Other duties as assigned.
 

What does it take to work for Clean Harbors?

  • High school diploma or equivalent required;
  • 2 years of college or specialized training is preferred;
  • 5-7 years of experience in this field of work is preferred in lieu of degree;
  • Prior transportation, disposal, and data entry experience preferred;
  • Ability to facilitate and lead meetings that are organized and productive;
  • Strong written and oral communication skills. Must be able to effectively work well and communicate with peers and all levels of management including executive staff;
  • Detail oriented;
  • Ability to perform multiple tasks simultaneously with cons
