Job Posting Description

Position Summary/ Department Summary: The Special Events Officer is responsible for logistical oversight and implementation of events within his/her area.  Working closely with management, develops systems and strategies aimed at facilitating successful events that generate budgeted revenue for the hospital.  This role manages event volunteers, production of collateral materials, and any other activities associated with events. The Officer assists with stewarding and building relationships with event participants.

Key Responsibilities:

  • Oversee logistical elements of event production including pre and post event
  • Manages event volunteers and management companies
  • Develops systems for day of event production and oversees implementation
  • Works with and manages the relationships with any outside associations or organizations involved with event
  • Assists with stewarding event participants and sponsors
  • Works closely with Development Communications, PR Officer, and Web Site team to coordinate, press, create and develop marketing materials/ collateral, develop website and all communications for event
  • Works closely with Development Services to develop and maintain an effective method for tracking and acknowledging gifts and ensures proper recognition
  • Participates in the identification, cultivation, and solicitation of potential donors
  • Coordinates and oversees the expense projections and budgets for assigned areas of responsibility
  • As part of the special events team, assists in planning, organizing, and implementing the activities for other events and programs as needed

Minimum Qualifications:
  • Minimum of 3-5 years of previous experience in development in a mid-volume department and “for profit” sectors, special events, and sales.  Candidates with non-traditional backgrounds are encouraged to apply if they demonstrate relevant experience and skills.
Education:
  • A Bachelor’s degree is required 
Experience:
  • Excellent interpersonal, organizational, and written communication skills relating to management staff and donors
  • The analytical skills necessary to resolve problems requiring a professional level of knowledge in a specific discipline/field and/or improve, enhance, or upgrade complex financial, data processing, and marketing systems and programs
  • Consistent attention to detail, high level of productivity, solution-oriented performer who can be responsive to both staff and donor issues
  • Strong technical skills in generic software programs (Excel, Microsoft) and IT systems, and the ability to develop proficiency in specific fundraising database management systems (CRM) and reporting software (Tableau)
