About the role

The Chief of Staff (CoS) for the Senior Executive Vice President (SEVP) of Health Affairs and Health System at The University of Texas Health Science Center San Antonio, also called UT Health San Antonio, will represent the SEVP’s priorities and initiatives, ensuring their coordination and advancement across the organization. This position requires independent management of highly sensitive matters, as well as handling requests on behalf of the SEVP, while collaborating closely with key internal and external stakeholders. The CoS is responsible for overseeing the day-to-day operations of the SEVP's office, including managing staff and ensuring exceptional service to all those interacting with the SEVP. This role involves assisting the SEVP in prioritizing tasks, optimizing time management, providing strategic and analytical support, and leading special projects from inception to completion. The CoS is also integral in helping the SEVP execute their vision for the Health Science Center. As a trusted strategic partner to the SEVP, the CoS plays a critical role in refining and implementing the SEVP’s vision, mobilizing the Health Science Center's resources to achieve organizational goals. In addition to providing high-level guidance, the CoS manages the SEVP’s office operations, including agendas, personnel, and day-to-day activities. The CoS will serve as a vital liaison, connecting the SEVP’s office with the university and the broader community, expanding the impact and reach of the office by building and nurturing strategic relationships.

The Chief of Staff (CoS) manages the hiring, training, mentoring, supervision, evaluation, promotion and termination of employees of the SEVP’s office.   Supports the SEVP in prioritizing tasks for optimal time management. Assists with handling and following up on incoming requests, issues, and decisions, while helping to determine the urgency of responses and actions. Tracks and coordinates various efforts, creating and managing tracking systems to ensure the SEVP stays on top of key priorities.   Plans and directs all administrative, financial and operational activities for the office of the SEVP.   Provides oversight and guidance to projects of high importance. May act as a chief advisor to the SEVP.   Ensures effective planning of SEVP’s activities and special events (both internal and external), to include welcome to new leaders, retirement receptions, Awards, holiday events, visits by VIPs. Proactively plans by requesting information in advance of meetings, preparing meeting materials, and completing any follow up needed. Inclusive of planning for visits by Executive Vice Chancellor for Health Affairs, Regents and other dignitaries.   Works closely with data and functional owners to research and provide information, written summaries, and prepared talking points for presentations and other SEVP communications and announcements. Plans, coordinates, and prepares agendas for monthly Executive Committee and SEVP leadership meetings.   Represents the SEVP and UT Health San Antonio at community events as needed.   Oversees Patient Navigator/requests for the SEVP and President’s Office for assistance with medical, dental or nursing appointments in coordination with the clinical practice representatives. CoS serves as back up to Patient Navigator.   Coordinates campus’ involvement with community-wide activities with the help/guidance of others. Coordinates with the Office of Human Resources on employee service award events and recognition.   In partnership with the Office of Human Resources, manages and oversees the search process for Deans and VPs directly reporting to the SEVP as needed. This includes collaborating with selected search advisory committee chair, selected search firm, and other key stakeholders to ensure a seamless and successful search process.   Manages the University’s social club memberships.   Oversees the scheduling, technical upgrades and maintenance of SEVP conference rooms and SEVP’s suite of offices.   Oversees the updating and maintenance of HSC Contacts, an app which includes contact information for university leadership.   Performs other duties as assigned or determined necessary to support the SEVP and UT Health San Antonio.   Ten (10) years of experience in supervision and management is required.
