Job Description:

What’s the role?

As Administrative Assistant/Personal Assistant, you will be entrusted with the following:

  • To provide full support to Vice President, Shipping & Maritime AMR across all business activities, support the team with day-to-day operations and leadership team coordination.  
  • Develop and maintain a sound understanding of business activities to be able to provide required information.
  • Setting dates for Organizational Meetings, Monthly Telecons, social events, etc. Manage attendance and ensure pre-read is received and final papers for each meeting are distributed.
  • Detailed liaison with a wide variety of internal and external stakeholders is required, dealing with matters of a highly confidential nature.
  • Manage and maintain complex diary coordination through planning / coordinating and arranging internal and external meetings, considering purpose, importance, impact, and various complex and comprehensive boundaries and interfaces.
  • Take responsibility for continuation of a range of activities during the absence of the VP by efficiently managing the flow of work.
  • Provide accurate logistics for forthcoming travels including proactive and timely arrangements in a cost/business efficient manner, dealing with, and maintaining a record of expense claims. Facilitate timely payment of all invoices received.
  • Provide administrative support to the Maritime Partners in Safety program in the Americas region.  
  • Provide support and coordination for additional internal and external relationships such as Blue Sky Maritime Coalition, Northeast Cross Business Council, and other industry participation. 
  • Provide coverage and support to the Senior Administrative Assistant who supports Shipping & Maritime and other Trading Departments.

What we need from you

  • The candidate must have legal authorization to work in the US on a full-time basis
  • Minimum 5 years of experience as an Administrative Assistant, preferably with prior working experience in multi-national corporations
  • Ability to treat restricted/sensitive information with a high degree of confidentiality
  • Teamwork, accuracy, service orientation and a pro-active and highly professional attitude qualify as essentials for this job. The ability to work under pressure and coping with last minute changes is also essential
  • A high level of interpersonal skills and team working, able to communicate effectively with all levels including senior management
  • PC literacy and proficiency in systematically maintaining accurate records pertaining to activities such as meetings, travel, correspondence, and events

What we offer

The base salary range for this position is $54,000 - $82,000 per year. Individual pay will be based on various factors such as relevant work experience, education, certifications, skill level, seniority, and internal equity.

For regular full-time or regular part-time employees of the Company (participating companies as listed in the Summary Plan Description), insurance coverage options include medical, dental, vision coverage, life Insurance, Business Travel Accident Insurance, and Occupational Accidental Death Benefit programs. Employees also participate in a company pension plan and a 401(k) plan. Paid leave includes up to 6 weeks of paid vacation time, up to 11 paid holidays, and parental leave offering 16 weeks of paid leave for birthing parents, and 8 weeks of paid leave for non-birthing parents.

Additionally, employees are eligible for short-term disability leave for up to 26 weeks at 100% or 50% of base pay as well as Long-Term Disability insurance.
