 Multiple aspects of Administrative Duties relative to the Asset Records for each property serving as collateral for our 5.5 billion dollar mortgage loan portfolio (1,800 loans).   The primary responsibility is collecting, reviewing, and normalizing operating statements, which detail the income and expenses of each collateral property securing each mortgage loan in our portfolio.  This facilitates the assessment of the portfolio quality by our Analysts and Senior Servicing Officers, a critical component to ensuring the accuracy of our Risk-Based Capital (RBC) calculations for the company.   Essential activities also include accurate data entry of pertinent mortgage loan information to ensure proper management of individual loans and portfolios.  Throughout all phases of asset administration, customer service is provided to meet the needs of the borrowers, department, and company. 

Responsibilities:

  • Review and normalize annual operating statements to industry standards, accurately and timely add and update the mortgage system with normalized operating information for required reporting.
  • Provide Pay Off statements while ensuring the requirements outlined in the loan documents are met; 
  • Prepare Mortgage release documents on loans paid in full and have them recorded by the county or state authority while meeting the requirements specified.
  • Review periodic tax information for the portfolio to ensure taxes are current for each collateral property and review annual insurance certificates to ensure the coverage required by the lender is ongoing through the life of the loan. 
  • Update the mortgage loan system timely for accurate reporting.
  • Ongoing maintenance on Asset Administration elements of loan records
  • Accurate data entry of Asset Administration information on newly on-boarded loans
  • Review annual property inspections for deferred maintenance and vacancies and report findings to the portfolio analyst. Process and Scan annual property inspection reports to the mortgage loan and corporate scanning systems.
  • Each has specific departmental tasks assigned that are not shared by the group as a whole.  Managing off-site storage & tracking; assigning variable rates each month; coordinating supplemental advances; mail distribution; various other one-off projects as they arrive.

Knowledge/Experience/Education/Training:

  • High school or equivalent required. Some college a plus.
  • 3-5 years work experience in an office environment
  • 2-3 years of responsibility of independent, detail-oriented, processing work. 
  • Mortgage loan servicing and/or accounting related experience ideal. 
  • Strong customer service skills a must.
  • Excellent oral and written communication skills required.  
  • Proficiency using complex computer-based management systems as a primary tool.
