About the role
The Office Coordinator (OC) reports directly to the Recycling Operations General Manager or Recycling Operations Facility Manager (I or II). The OC performs administrative functions and is responsible for maintaining efficiency, complying with policies and other tasks as assigned. The OC must have strong leadership, communication, and organization skills.
This position operates within broad parameters. The primary goal of this position is to achieve excellence in all facets of the office.
Pay Scale: $35-40/hr
Essential Functions
- Environmental and Health & Safety (EH&S)
- Communicates and reinforces the Company’s position on scrap acceptance in line with Environmental and Health and Safety regulations as a member of the Joint Occupational Health and Safety Committee (JOSHC).
- Compiles all site inspections and data for the JOHSC meetings to meet WorkSafe requirements.
- Operational Performance & Best Practices
- Oversees office functions to assure General Manager/ Recycling Operations Facility Manager receive accurate and timely support.
- Maintains daily, weekly, monthly tracking reports for various sales and shipment activities.
- Assists in daily scale system applications making sure all policies and procedures are followed and month end close deadlines are met.
- Obtains copies of all contracts and agreements pertaining to NF transactions
- Ensures all Certificates of Insurances and Hazardous Waste Forms are maintained and up to date.
- Trains office staff and scale operators when necessary.
- Inventory & Quality Control
- Monitors customer service to assure customers are accurately paid, questions or problems are resolved expeditiously, and quality service is always provided.
- Reviews internal audits, sets procedures, and coordinates changes with operations, scale, inside buyers, and office. Updates changes quarterly and yearly.
- Special Projects
- Performs special projects or other duties as needed or assigned.
Internal Control Responsibilities
Supports the Company’s Internal Control process which includes understanding, communicating, and complying with defined internal controls as well as suggesting and making modifications to the policies, procedures, and controls to better relate to the business.
Communicates upward problems in operations, noncompliance with the code of conduct, or other policy violations or illegal actions.
Job Conditions
Average office environment subject to occasional dirt and noise due to industrial setting. Some overtime, including occasional weekend work, is required. Time deadlines create pressures to prioritize work. Frequent schedule changes require flexibility and composure.
Physical Activities Required to Perform Essential Functions
Ability to: sit at the parts counter continually; stand and walk frequently on uneven ground and throughout the warehouse; lift and carry up to 100 pounds consistently; crouch or bend at the knees consistently to move materials; stoop or bend at the waist consistently to move materials; reach at arms length and overhead frequently; twist and turn at the neck and trunk continually; climb occasionally when obtaining items; handle and grasp parts continually; communicate by speech and hearing continually. Visual acuity needed for close detail work. Mental dexterity needed as Warehouse Associate will work independently while demonstrating attention to detail and continuous awareness.
Qualifications
Two-year degree in related field with 3 years general office responsibilities preferred. In lieu of degree, high school diploma or equivalent with 5 years general office experience. Experience in logistics or accounting/bookkeeping preferred.
Proficiency required in all MS Office Applications; Outlook, Word, Excel, Power Point. 10-key competency is a must. Data entry accuracy and advanced accounting and analytical skills; understanding of purchasing systems; superior math skills; advanced knowledge of scrap industry; strong communication skills; discretion in dealing with sensitive information; detail orientation; ability to prioritize and delegate numerous tasks; ability to examine work performed for errors, duplication and/or omissions preferred. This job requires the ability to multitask, anticipate problems and make decisions based on sound judgment and an orderly process of determining facts and developing options. Willingness to challenge conventional thinking.
