Job Description:

DEPARTMENT: Office of Engaged Teaching and Learning

POSITION TITLE: ADMINISTRATIVE SPECIALIST FOR ENGAGED TEACHING AND LEARNING

SUPERVISOR: Assistant Vice Chancellor of Engaged Teaching and Learning

PURPOSE: The Administrative Specialist for Engaged Teaching and Learning will provide essential support to the AVC of Engaged Teaching and Learning in Academic Affairs. This role focuses on managing scheduling, organizing key meetings, and assisting with various administrative and programmatic tasks to enhance the effectiveness of Engaged Teaching and Learning initiatives across the university.

RESPONSIBILITIES:

1.            Scheduling and Meeting Organization:

  • Schedule and organize meetings for Engaged Teaching and Learning initiatives, ensuring efficient communication and preparation.
  • Manage logistics for meetings, distribute agendas, and follow up on action items.

2.            Initiative and Project Support:

  • Support the implementation and management of ETL initiatives, such as academic offerings (e.g., CORE 3001) and faculty enhancement projects, including Tenure Mentoring.
  • Provide administrative support to the Endowed Professorship program by helping track important due dates and gathering necessary materials.
  • Provide administrative support to Academic Affairs for tracking tenure, promotion, and reappointment timelines, documents, and deadlines; scheduling and organizing committee meetings and facilitating the documentation to support those processes.

3.            Support for ETL Directors and Leaders:

  • Provide administrative support, when necessary, to the directors of the key ETL programs: Career Center, Center for Opportunity, Research, and Experiential Learning; Center for Teaching Excellence; Honors Experience; and Technovation Center.
  • Offer additional support for related efforts, such as Command Your Career and the Interdisciplinary Premed Program, to enhance student engagement and professional development.
  • Assist with logistics and coordination to advance the goals of each ETL program.

4.            Advertising and Promotion:

  • Support the advertising and promotion of ETL initiatives to raise awareness and engagement across the university.
  • Collaborate with communications teams to create and distribute promotional materials.

5.            General Administrative Tasks:

  • Take on additional activities as needed to support the Assistant Vice Chancellor and the broader goals of Engaged Teaching and Learning.
  • Maintain flexibility to adapt to new or evolving priorities.

QUALIFICATIONS:

1.            Required:

  • Bachelor’s degree.
  • Strong organizational and time-management skills.
  • Proficiency in office software (e.g., Microsoft Office Suite) and scheduling tools.
  • Excellent communication and interpersonal abilities.
  • Ability to manage multiple tasks efficiently and work well in a collaborative environment.

2.            Preferred:

  • Experience in higher education.
  • Familiarity with faculty development, academic programs, or experiential learning.
  • Demonstrated ability to handle complex scheduling and administrative tasks.
  • Knowledge of marketing and promotion strategies.
