Job Details:
Purpose
To provide administrative assistance to the HR office of Applied Research Laboratories.
Responsibilities
Complete tasks related to new employee onboarding, including data entry into ARL’s internal management database/reporting system (IRIS), preparation of onboarding packets and organizing, distributing and/or filing paperwork after ARL onboarding. Send reminders and follow-up on emails related to onboarding.
Provide general administrative support to the ARL HR Operations team by completing assigned tasks including, but not limited to collating documents, filing, scanning, and data entry
Scan terminated employee files and file documents in employee central HR files
Act as backup to supervisor for directing employees to UT Austin resources such as benefits or to ARL HR subject matter experts (SMEs). Keep supervisor and/or SME informed of inquiries.
Data entry of career fair resumes and entry in the ARL HR Career Fair SharePoint site for use by hiring managers.
Assist with processing applications as needed and e-mail routing for review to hiring managers and ARL Operations Manager.
Cross train with ARL HR Operations team to assist with routine tasking and provide additional coverage in the ARL HR office as needed.
Other related miscellaneous clerical functions as assigned.
Required Qualifications
High School graduation or GED.
Three years of general administrative experience.
Demonstrated ability with Microsoft Office Suite.
Impeccable data entry and quality control verification of entries.
Be willing and able to research resources and find answers to general HR questions with guidance as needed.
Highly skilled in tracking and prioritizing daily tasks .
Demonstrated high level of accuracy and attention to detail.
Excellent interpersonal customer service and communication (written and verbal) skills.
Motivation and desire to learn more about the Human Resources field.
Relevant education and experience may be substituted as appropriate.
Ability to work independently with sensitive and confidential information, maintain a professional demeanor, work as a team member without daily supervision and effectively communicate with all groups of clients. Able to work under pressure and accept supervision. Flexibility to adjust to changing priorities and deadlines. Regular and punctual attendance.
US Citizen: Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position.
Preferred Qualifications
Bachelor’s degree in HR or related discipline.
Experience working in a busy human resources office with frequent interruptions.
Workday experience specifically with HR functions such as onboarding.
Demonstrated ability to be able to adjust to workload and process large amounts of paperwork and on-line information in a short time period when necessary.
Demonstrated knowledge of UT policies, administrative forms and benefits.
