Job Summary:

Under the general supervision of the Provost, the Faculty Senate Coordinator coordinates and works independently, providing assistance and complex coordination support on a day-to-day basis to the Senate Chair and Executive Committee, Senate Committee chairs, and others on campus. Serves as a liaison for the Senate with the Academic Senate of California State

Responsibilities: 

Administrative Support and Coordination:
- Apply strong organizational skills to coordinate and provide high level day to day administrative support, including but not limited to scheduling, records management, document processing, data collection, and preparation of complex reports.
- Provide coordination support to the Faculty Senate Chair and serve as the office coordinator, independently answering incoming calls and providing in-person support to guests. Ability to interpret and apply University policies and procedures using sound judgment and discretion. Maintain, track, and order all office supplies, and handle disbursement and reimbursement actions such as purchasing requisitions, procurement card purchases, hospitality expense reimbursements, travel, and related transactions.
- Demonstrated competence in effectively writing and presenting information, such as meeting minutes.
- Prepares items such as agendas, minutes, and records of the Faculty Senate and Senate Executive Committee meetings, as directed by the Senate Chair, and submits them to appropriate university offices.
- Coordinate activities for the faculty senate chair and executive committee.
- Coordinate workflows between the Faculty Senate, its committees, and campus administrative offices that engage with or are guided by Senate policies.
- Maintain and update the Faculty Senate website, demonstrating experience in website maintenance.
- Analyze budgetary data and apply knowledge of business math to monitor, reconcile, and maintain the Senate budget, including the foundation account for the Senate Chair’s review.
- Coordinate, prioritize, and respond to incoming correspondence, telephone messages, and e-mails for the Senate chair, Executive committee, and committee chairs concerning the Senate office.
- Maintain and prepare the calendar for the Faculty Senate, the University Curriculum Committee, and any other Senate committee requiring assistance.
- Identify complex problems and determine when to be referred to appropriately.

Senate Research and Reporting:
• Research and compile information for the Senate Chair, Executive Committee, Committee chairs, and individual members using various manuals and references.
• Serve as a resource to faculty, administrators, staff, and students regarding Senate policies and provide guidance proper sources of information concerning Senate policies and procedures.
• Preserve, organize, and retrieve Senate policy documents and other Senate documents.
• Other classification-related duties as assigned.

Minimum Qualifications: Required Education and Experience: 

High School diploma or its equivalent AND five years of progressively responsible experience in general office clerical or secretarial work or the equivalent.

Required Knowledge, Skills, and Abilities: 

- Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
- Thorough mastery of English grammar, punctuation, and spelling.
- Expertise in using office software packages, technology, and systems.
- Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act
when precedents do not exist.
- Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to
work area.
- Ability to understand problems from a broader perspective and anticipate the impact of office administration
problems and solutions on other areas.
- Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed
solutions.
- Ability to perform business math, analyze budgetary data, and make accurate projections requiring some
inference.
- Ability to effectively write and present own reports.
- Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal
situations.
- Ability to use negotiation and persuasion skills to achieve results and expedite projects.

Compensation and Benefits:

Anticipated Hiring Range: minimum $4,058 - maximum $4,274 monthly. 

Classification Salary Range: minimum $4,058 - maximum $6,653 monthly.
