Bechtel Equipment Operations, Inc. (BEO), a wholly owned Bechtel affiliate company, functions as the construction equipment asset manager of Bechtel Group and is actively engaged in projects across all of Bechtel's business lines. In support of its involvement, BEO uses sophisticated estimating and scheduling systems to assist projects in developing bid proposals, equipment lease versus purchase analysis, tool and consumable utilization forecasts, scaffold estimating and supply, and overall construction fleet utilization plans. Headquartered in Sugar Land, Texas, BEO also manages several permanent global equipment storage and support facilities. `

 

Position Summary:

The Supply Chain Administrative Assistant is responsible for providing administrative support of a responsible and confidential nature to help ensure the smooth functioning of the Supply Chain Team. Duties require accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol. Anticipates changing priorities and problems.

 

Responsibilities:

  • Meet regularly with Manager of Supply Chain and Supply Chain Operations Manager to be informed of key issues and coordinate workload. 
  • Independently maintain calendar for responsible manager(s).
  • Independently schedule and reschedule appointments based on manager’s commitments and priorities providing adequate detail to individual items.
  • Perform a variety of administrative duties of either a general or a specialized nature through research, analysis, and coordination with other functions and disciplines.
  • Coordinate special activities and programs with manager’s input and approval. 
  • Organize facilities for conferences, meetings, training, or employee events, including:
  • Create and organize presentations or materials needed for meetings. 
  • Prepare, collect, review, and distribute meeting agendas, information packets, and minutes.
  • Process BEO correspondence, conference notes & meeting minutes and action items log. Review all deliverables for quality.
  • Manage meeting and catering requests while adhering to any restrictions for meetings and gatherings.
  • May operate a variety of audiovisual equipment in the presentation of programs, orientation, and conferences.
  • Compile, analyze, and prepare or help prepare information for presentations, studies, or reports.
  • Maintain files. 
  • Review deliverables and monitor quality to ensure that all documents conform to established standards and procedures.
  • Assist employees with standard forms.
  • With an understanding of the departments goals and priorities and the managers’ commitments, compose and distribute complex correspondence using standard word processing systems or other software applications, in response to requests for department services, answer inquiries from other departments, area offices, or outside entities.
  • Prepare and proofread standard forms, correspondence, reports, etc.
  • Assemble, copy, and distribute documentation packages.
  • Keep abreast of key issues, commitments, and priorities of manager(s).
  • Research information and compile summary reports.
  • Extract data from reference material, either semi-technical or non-technical in scope.
  • Perform data entry to maintain logs and track documentation.
  • Review for accuracy and format outgoing documents that require the managers’ signature.
  • May arrange complex travel arrangements, including details of business plans.
  • Prepare itineraries and expense reports.
  • Operate standard office equipment, including automation
