Overview

The Manager of Administrative Operations manages day-to-day administrative support services for faculty, student administration; this includes program and project priorities for the Solinksy Challenge, accountability maintenance, and alignment of various human and financial resources to achieve the School of Engineering goals and operational efficiency. The Manager of Administrative Operations ensures that efficient and effective operating systems are implemented; data and documents are maintained, organized and accessible, that critical informational technology is in place and utilized. The Manager of Administrative Operations will implement new process and approaches to assist the Deans and Department Chairs achieve the School of Engineering’s goals. The Administrative Operations Manager is responsible for leadership and operational management, to ensure efficient use of CSoEAS and Solinsky Challenge resources. This position requires a driven, confident, energetic individual who has experience working independently and in a team-based interdisciplinary environment.

 

Responsibilities

Supports the Deans, Department Chairs, and Faculty● Interface with the Deans and academic Department Chairs to understand their administrative support and reporting needs.● Support the Deans and Department Chairs by managing crosscutting operational activities across the school and its four departments by applying proven team-based management techniques.● Work closely with the Deans, the Department Chairs, the Administrative support staff, and other stakeholders across the University to improve and streamline business processes with an emphasis on service excellence and the integrated use of the University’s enterprise software systems.● Build strong and mutually respectful partnerships with the Deans, Chairs, Faculty, Staff, Students and other stakeholders to support the Coulter School’s and Solinsky Challenge’s success.

 

Manage Daily Administrative Operations and the CSoE Administrative Support Team● Lead, direct, and coordinate all daily administrative operations and activities in the School of Engineering.● Create and oversee construction of Policy & Procedures and oversee effective interdepartmental processes that support high performing results by all areas.

● Provide effective leadership by being actively involved in all programs and services, developing a broad and deep knowledge of all programs.● Engage appropriate team members in a timely fashion, and communicate fully, actively, and accurately, to expedite the high performing execution of activities and projects.● Continuously demonstrate consistent support, promote and resolve issues and /or challenges using methods aligned with Clarkson University culture, mission vision and core values.● Both as a leader and a member of the support staff, the Director will work closely with the staff to implement improved business processes and reporting

 

Management of Projects to support School of Engineering Goals

● Demonstrate consistent support of University initiatives, projects, and programs ● Help develop an annual plan for the Coulter School including key revenue, expense, and operating objectives, resource development and allocation and clearly defined performance benchmarks.● Provide leadership and oversight, internal and external, regarding the successful execution of the project flow and task management. ● Create and oversee effective communication processes for both internal and external points of contact, which are proactive, comprehensive, and designed to “provide resolution”.● Continuously review project results and make timely recommendations to the Dean and Chairs regarding resource needs and adjustments.● Analyze data to help manage resources and predict trends important to the school. This will require collaborating with various stakeholders inside and outside of the School including senior personnel from the Offices of Information Technology, Student Administrative Services, Development and Alumni Relations, and the Finance Office. The Director will be responsible for presenting the data to the school’s academic leadership team and making recommendations based on the data.● Other duties as assigned by the Dean of Coulter School of Engineering.

Qualifications

Education:

 

Minimal Qualifications: Five plus years of management experience related to the position.Experience supervising and developing hourly staff.Ability to analyze complex business processes.Ability to work independently and on a team.Excellent written and verbal communication skills.Effective decision-making skills.

 

Preferred Qualifications: Bachelors or Master’s DegreeIn lieu of Bachelor’s Degree:● 15 years’ experience as an Office Manager● 8-10 years’ of Management & Supervisory experience
